As an integral part of the office management team, this opportunity will provide proactive and reliable administration support to all sectors and disciplines within the Scottish office, assisting in the smooth and effective running of the business. You will exercise judgment and discretion in all tasks.

This position will see your day-to-day being different and interesting, working with a diverse team. You will support with anything from setting up meeting rooms, welcoming guests, and travel arrangements, to organising various team events, ad-hoc running of errands, and seeing to office maintenance. This is an office-based position (with some flexibility) in the Motherwell office, with potential for growth. Training and mentoring will be provided for the successful candidate.

In this role, you will provide effective administrative support, including meet and greet duties, and be a reliable and approachable point of contact for staff and all external visitors. You will carry out duties in accordance with company procedures and client requirements, working with the Head of Scotland and Director of Infrastructure on a number of PA responsibilities, including items of confidentiality. Liaising with other office managers from across the business, you will handle general administrative tasks such as minute taking, telephone answering, call redirection, and message taking. You will also be responsible for liaising with internal security teams to ensure protocols and practices are undertaken, managing workload, and delegating tasks to the office administrator. Additionally, you will support project teams by providing an effective and efficient service with typing and recording of documentation using appropriate systems and being conscious of deadlines.

Managing the Welcome Desk iPad sign-in/out system by staff and visitors to adhere to fire regulations, arranging business and social events, booking meeting rooms, and issuing electronic invitations via the Outlook Calendar booking system are also part of your responsibilities. You will order lunches and organise hospitality drinks when required, and maintain stationery and welfare supplies, including stocking certain supplies.

To be successful in this role, you should be able to work in a team environment, be flexible, exercise judgment and discretion in all tasks, and have a desire to show initiative. Good keyboard and IT skills with experience in MS Office packages such as Word, Excel, and PowerPoint are essential. A good standard of education at the Scottish higher level (or equivalent) is required, along with a good understanding of financial processes and written English. Strong oral and written communication skills are necessary to communicate effectively with internal and external teams. You should have a willingness and enthusiasm to take on new challenges and develop your role, be able to prioritise and thrive in a busy, fast-paced office to meet the demands of the team, and be organised and driven with a 'can do', flexible, and helpful attitude.
