Temporary Project Assistant

  • Location: NE1 (Newcastle) - no parking available
  • Contract Type: Temporary (8 months)
  • Working Pattern: Full Time (Mon-Fri, 37.5 hours per week)
  • Hourly rate: £14.35ph paid on a weekly basis through OA

Are you ready to dive into an exciting opportunity in the engineering sector? Our client is seeking a dynamic Project Assistant to join their vibrant team for a large shipyard design project. Role Overview:

As a Project Assistant, you will be an integral part of the project team, supporting various administrative and commercial tasks to ensure smooth operations. You will work closely with the Associate Director and interface with client staff, contributing to the success of the project.

Key Responsibilities:

Commercial Support:

  • Prepare and manage Project Approval Forms with utmost confidentiality and compliance with GDPR procedures.
  • Maintain a register of PAFs and ensure timely approvals across 62 different types covering all project costs.

Administrative Support:

  • Assist with weekly timesheet reporting using the organisation's financial systems.
  • Attend Progress Meetings, take minutes, and assist in arranging internal and external meetings, including booking meeting rooms and setting up necessary equipment.
  • Draught contractual letters and manage project email communications.
  • Format technical reports and documents to adhere to client specifications.
  • Provide support for project inquiries and act as a resource for all project staff.
  • Offer coverage for Document Controller and Facilities Assistant tasks, including document distribution and travel arrangements.

Broader Project Support:

  • Support timesheets and financial reporting for other projects as required.
  • Assist with invoicing processes to ensure financial accuracy.
