Our client, a reputable organisation within the service industry, is actively seeking an experienced and dynamic Office Manager to join their team. As the Office Manager, you will play a crucial role in providing effective financial and administration support to our client. Your responsibilities will include coordinating and streamlining administrative procedures, managing office staff, overseeing office operations, and implementing company policies and procedures. With your excellent communication skills, you will ensure effective communication across the organisation, promoting a positive and professional atmosphere.

Key Responsibilities:

  • Plan, coordinate, and streamline company administrative procedures to optimise efficiency.
  • Manage a team of administrative staff, ensuring they are equipped, trained, and inducted per company guidelines.
  • Oversee office operations, including the management of office supplies, equipment, and staff rota.
  • Develop, implement, and maintain company policies and procedures to foster a compliant and productive work environment.
  • Process invoices, payments, and bank reconciliations in a timely manner, liaising with suppliers and customers to resolve any queries.
  • Coordinate the timely scheduling of orders to meet customer service level agreements, ensuring effective utilisation of engineering staff.
  • Process employee timesheets, ensuring accurate and timely processing of monthly wages.
  • Maintain accurate and up-to-date records of employee, customer, and supplier information, as well as vehicle repairs and MOTs.
  • Renew insurances and contracts, maintaining compliance with relevant memberships and regulations.
  • Reconcile monthly accounts and produce the directors' pack to support financial reporting.
  • Calculate and make payments to the Inland Revenue, including PENSION, VAT, PAYE, CIS, and Corporation Tax.
  • Conduct regular supervisions and appraisals for office staff, providing support and guidance as needed.

Required Skills and Qualifications:

  • Minimum of 5 years' experience in office management.
  • Strong time-management and people skills, with the ability to multitask effectively.
  • Proficiency with office and accounting applications, with an aptitude for learning new software.
  • A positive and professional attitude, promoting a collaborative work environment.
