Job Purpose
The Weighbridge Administrator is responsible for assisting in the administration and maintenance of efficient accounting procedures for controlling and reconciling income related to the service area. The role ensures compliance with waste acceptance procedures, allowing the council to maintain data integrity and meet reporting obligations.

Key Responsibilities
1.Tonnage Data Reporting & Compliance
- Assist in fulfilling the council's obligations regarding tonnage data reporting linked to environmental permits and tax obligations for the landfill site.
2.Customer Service & Pricing Structure
- Handle service requests from customers.
- Review, update, and communicate pricing structures and applicable rates.
- Ensure customers are charged correctly and monitor ongoing rate applications.
3.Data Reporting & Performance Monitoring
- Compile information and produce reports from Council systems for performance monitoring and utilization analysis to support senior managers.
4.Accounting & Income Reconciliation
- Follow accounting procedures for income control and reconciliation.
- Manage customer setup, issue invoices, and conduct regular data integrity checks.
- Liaise with internal departments and external organizations as needed.
5.Payment Monitoring & Recovery
- Oversee the payment process and implement recovery actions where necessary.
- Ensure orders are completed and appropriately coded to budget lines.
- Work with finance officers regarding income management.
6.Credit Monitoring & Customer Liaison
- Assist in implementing, maintaining, and monitoring credit criteria.
- Work with finance officers to assess customer creditworthiness.
- Manage 'on-account' customers and maintain credit balances, reporting any issues to site management.
7.Waste Stream Monitoring & Compliance
- Track waste streams entering and leaving the site.
- Investigate missing loads and reconcile weighbridge tickets with end destinations.
- Ensure tonnage limits align with management targets.
- Oversee the issuance and filing of duty-of-care documents and statutory notices.
8.Weighbridge Operations & Equipment Maintenance
- Operate the weighbridge and ensure correct system functionality.
- Maintain weighbridge equipment, request software updates, and replace obsolete equipment as needed.
- Conduct verification tests to uphold data integrity.
9.Training & Knowledge Sharing
- Participate in staff training on landfill and weighbridge operations.
- Share expertise within the team to enhance operational efficiency.
10.Process Improvement & Digital Development
- Proactively suggest and implement improvements to working practices.
- Support the development of online and electronic services to enhance service delivery.
11.Security & Building Management
- Assist in opening and securing the building, managing alarm systems, and reporting security issues.
12.Health & Safety Compliance
- Ensure adherence to health and safety regulations.
- Assist in developing, issuing, and reviewing site rules and disposal procedures.
- Report incidents, accidents, and safety concerns promptly.
13.Operational & Administrative Support
- Be prepared to work across multiple service areas and assist in various operational and administrative tasks as directed.
14.Additional Duties
- Perform standard operative duties when weighbridge tasks are not required.
- Assist residents, manage site traffic, oversee skip usage, and perform site cleaning duties.
- Undertake any other duties related to the role as instructed by the management team.
