Your new companyHays are working with a well established organisation in Newport who are looking to recruit an Executive Assistant/Insurance Coordinator who are looking for an Executive Assistant on a permanent basis. This is an excellent opportunity with lots of variety working in a very ambitious and friendly team. There is an abundance of progression available within this role. Your new roleWorking as part of the Senior Leadership team as an Executive Assistant/Insurance Coordinator, your role would be pivotal in providing high level executive assistance to a busy and experienced CEO.Responsibilities would include:

  • Responsible for all insurance matters including claims management, changes of insurance cover, collating renewal information and managing external insurance on-line data.
  • Assisting the head of procurement including preparation of tenders, preparing and publishing contract notices and management of procurement exceptions, preparation of procurement KPI's and associated data.
  • Managing the new supplier process and maintaining contract register to assist with procurement planning.
  • Provide high level support to three Executive Leaders including coordinating meetings, arranging travel and the management of diaries.
  • Act as the primary point of contact for office including sensitive and confidential enquiries.
  • Handle internal and external communications promptly and effectively and gather and organise data and information to assist Executive Leaders in research and preparation of reports.
  • Draft letters, papers, and reports to the highest standard and lead on finalisation of key reports, and other documentation, maintaining the highest level of confidentiality at all times.
  • Provide administrative support for the team.
  • Manage the insurance portfolio on a day-to-day basis ensuring the effective management of all insurance claims, including recording, preparing and providing information and defence arguments, consulting stakeholders and liaison with insurers, solicitors and loss adjustors as required.

What you'll need to succeedIn order to be considered for this position you will an experienced Executive Assistance with demonstrable experience in the following:

  • Significant experience of providing direct administrative support at senior executive level in a complex organisation.
  • Experience of managing insurance including claims, travel insurance liaising with brokers and providing renewal information.
  • Excellent organisational skills, including an ability to organise own work, prioritise and meet deadlines.
  • Excellent written skills, including in correspondence, the preparation of reports and the formal recording of meetings.
  • Ability to manage and interpret data from different sources to create summaries and recommendations
  • Excellent IT skills (Microsoft Office, including Word, Excel, PowerPoint and Outlook) and the effective use of collaborative tools.
