The OpportunityNigel Wright are delighted to be exclusively supporting Vehicle Lease and Service with their search for a Fleet Specialist/Administrator to join their North Shields Head Office. This is a fantastic opportunity for someone who has worked within a dealership, warranty or service position previously and has excellent knowledge within this field alongside offering clear opportunities for progression and development within this role, with excellent benefits. As a leading Fleet Management and maintenance company, VLS operates a fleet of more than 5,000 assets including van and company cars and has a team of specialist engineers based within their workshops to ensure vehicles are fully compliant. They pride themselves on providing exceptional customer service to businesses in the utility and local authority sectors.You will ideally be a data driven individual who is inquisitive and enjoys analysing data, whilst providing excellent customer service to their clients.Working Monday - Friday, you will be based at the VLS Head Office in North Shields but hybrid working is also available, working 2 days from home once comfortable in the role. Key ResponsibilitiesBased within a well established team, the Fleet Specialist role reviews the fleet system for maintenance events (MOT’s, Safety Inspections, servicing etc) by checking the maintenance schedule and chasing the customer for missed events. Duties will also include:
  • Arrange short term hires for the customer and keep them updated on the progress
  • Co-ordinate short term hire insurance claims with the relevant customer departments when required
  • Review the fleet management shared inbox ensuring customers are responded to in a timely manner
  • Work within department KPI’s
  • Manage internal / external e-mails and Telephone enquiries
  • Manage all aspects of invoices including invoice queries received
  • Make vehicle bookings with external workshops and provide authorisation to external workshops, record the job information on the fleet management system
  • Take ownership of customer hire issues that have been raised directly from a workshop to ensure the customer is fully informed of progress
  • Deliver effective control of vehicle event dates when moving dates forward in the fleet management system
  • Manage the internal short term hire fleet, moving vehicles between sites when required
  • Audit supplier service, quality and cost; rectifying any supplier issues
  • Manage vehicle recalls
