We have a fantastic opportunity for an Executive Support Officer at Oldham Council, this is a full-time temporary role for the next 3 months with the possibility of extension.

What is the role?

Oldham Council are looking for a Registered Children’s Manager, to provide administrative support to the Cabinet Members of Oldham Council.  This includes responding to press enquiries, responding to Oldham residents regarding enquiries and working in conjunction with Cabinet members and Senior Managers.  The candidate must be professional, flexible, reliable with a high degree of confidentiality, diplomacy and sensitivity.

What are your responsibilities?

  • To manage the diary of the Cabinet Members and Deputies, ensuring appointments are scheduled taking into account political and Council priorities, consulting with the EA to the Leader, as necessary,
  • Proactively screen the Cabinet Members’ email inbox as required by undertaking items of casework and meeting requests. To assess the importance of emails received in general and to reallocate these as appropriate, consulting with the EA to the Leader, as necessary.
  • Provide a comprehensive secretarial support service for the Cabinet and the Deputies; including producing with speed and accuracy, word processed documents in the corporate style, correspondence, reports, create and maintain spreadsheets and to format presentations.
  • Assist the district caseworkers with information gathering and securing assistance of Council Officers to provide relevant and effective responses, consulting with the ESO as necessary.
  • To be responsible for the management of correspondence to the Cabinet Members and Deputies, formulating routine responses and acknowledgements to correspondence, customer queries, and, where appropriate, taking the initiative to respond on behalf of the Cabinet Members
  • Undertake support tasks for the Cabinet Members and Deputies, e.g. progress chasing, preparing papers/agendas, document management etc.
  • To deal with members of the public on behalf of the Cabinet Members and Deputies where often there will be complaints and difficult issues to manage, and the Council’s and Cabinet Member’s reputation is at stake.
  • Assisting Constitutional Services in collating Cabinet responses to questions submitted for Council meetings by progressing and collating responses.
  • With support from the Executive Assistant to the Leader, identify the key and relevant issues on which the Cabinet Members and Deputies need to be aware of.
  • To be responsible for co-ordinating meetings, considering attendees availability, ordering refreshments in accordance with council policy, booking venues, plus taking minutes/action points, and ensuring any follow up actions arising from meetings are progressed.

What skills do you Need?

  • Must have recent experience of working as an Executive Support Officer / Executive Assistant or Personal Assistant for a local authority would be beneficial
  • Excellent IT Skills, as you will be using Microsoft Office and internal Council IT Systems
  • Excellent people skills, as you will be speaking to the public, other members of staff and managers.
  • Strong Minute Taking experience will be required, alongside Diary Management, and strong attention to detail.
