We are seeking an Estate Services Manager to work on-site at a large business and science community in Oxfordshire, alongside the site-based client and facilities management team. This role will be pivotal in managing service charges, building compliance, contractor management, and occupier queries, supporting the overall operations of the estate.

Key responsibilities include:

  • Oversee day-to-day operations of the estate, ensuring a positive image is maintained across all managed buildings.
  • Manage service charge budgets, including drafting, controlling, and reporting on expenditures.
  • Monitor building activities, addressing issues promptly to maintain high operational standards.
  • Conduct regular health and safety inspections, ensuring full compliance with legal and internal standards.
  • Collaborate with maintenance contractors to ensure Planned Preventative Maintenance (PPM) schedules are in place and executed efficiently.
  • Serve as the primary contact for specific contractors, while addressing operational queries from occupiers.
  • Ensure adherence to environmental policies and health and safety regulations, managing emergency plans and organising fire and safety evacuations.
  • Proactively manage risk and handle on-site insurance matters.
  • Ensure the property meets client KPIs by working closely with key stakeholders.
  • Oversee major work programmes, acting as the main liaison for contractors, stakeholders, and other involved parties.
  • Line manage the Assistant Facilities Manager, providing guidance and oversight.

The ideal candidate will have a solid understanding of property management, including stakeholder functions and client services. A formal health and safety qualification (IOSH essential, NEBOSH preferred) and at least five years of experience in facilities management, preferably with a managing agent, are required. They must be well-versed in property management legislation, service charge principles, and M&E plant operations.

Proficiency in relevant IT applications, along with strong knowledge of health and safety, environmental regulations, and building insurance, is essential. The candidate should also have experience implementing ESG strategies and possess excellent communication skills. Strong client and occupier relationship management, as well as the ability to contribute to team strategy, are key to this role.
