Personal Assistant to the Director
Location: Eastcote/RuislipSalary: Circa £35,000 DOEHours: Monday to Friday, 9:00 AM – 5:30 PMIndustry: Estate Agency & Lettings
About the Role
An exciting opportunity has arisen for an experienced Personal Assistant to support the Director of a highly successful Estate & Letting Agency in the Eastcote/Ruislip area. This role requires a highly organised and proactive individual who can provide seamless administrative and operational support, ensuring the smooth running of the business.
The ideal candidate will have previous PA or Office Manager experience, strong attention to detail, and the ability to juggle multiple responsibilities in a fast-paced environment.
Key Responsibilities
Administrative & Organisational Support
- Manage the Director’s diary, appointments, and meetings, ensuring efficient scheduling
- Handle emails, correspondence, and document preparation, maintaining confidentiality
- Assist with travel arrangements, event planning, and client meetings
- Provide administrative support to the wider team as needed
Office & Operations Management
- Oversee office supplies, window displays, and general office upkeep
- Arrange weekly fruit deliveries and maintain office facilities
- Assist in managing office contracts, subscriptions, and services
- Support the team in switching service providers (e.g., phone systems, suppliers)
Project Coordination & Business Support
- Organise quarterly marketing brochures, ensuring property listings are up to date
- Assist in updating Terms of Business, gathering feedback from managers
- Manage and coordinate the staff rota, ensuring adequate cover
Financial & Invoice Management
- Chase outstanding invoices, liaising with suppliers and contractors
- Ensure invoices are processed accurately and follow up on any discrepancies
What We’re Looking For:
- Previous PA or Office Manager experience, ideally within property, professional services, or similar industries
- Exceptional organisational skills with the ability to prioritise and multitask
- Strong written and verbal communication skills
- Proactive problem solver who can take initiative and manage tasks independently
- High level of attention to detail and discretion when handling sensitive information
- Experience using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and CRM systems
- Previous experience in property or lettings would be an advantage but is not essential
