Deputy Office Manager
Annual Salary: £28k - £30k
Location: On-site, Full-time, Plymouth
Join my client’s team in a very busy solicitor’s office as a Deputy Office Manager, where you will assist with daily office operations to maintain a productive and proactive working environment. This role is crucial for ensuring the smooth running of the office, from overseeing new employee inductions to managing building projects and maintaining safety standards.
Required Skills & Qualifications:
- Proven experience of working within a quality standard environment at an office management/facilities management level
- Good organisational and project management skills.
- Good communication skills (written and oral).
- Good IT skills including knowledge of Microsoft Outlook, Word and Excel.
- Good time management skills.
- Good telephone manner and client care skills.
- Knowledge and understanding of health and safety regulations.
Day-to-day tasks:
- Providing high quality, efficient support to the firm.
- Complying with file management procedures and the implementation of good working practices in accordance with the firm’s standards and accreditations.Â
- Assisting with the preparation of documentation for the firm’s various annual audits.
- Assisting with the maintenance of the firm’s various databases.
- Assisting with the induction process of new people.
- Booking, recording and maintaining all staff training records.
- Assisting with reception cover and post duties.
- Conducting health and safety checks to ensure compliance with all legislative standards.
- Assisting the Office Manager with the storage of electronic archived files.
- Assisting the Office Manager to manage the planning and execution of office staff moves.
- Providing onsite support between contractors and staff.
- Manage building fit-out projects, including planning and tracking project timelines for timely and cost-effective delivery.
