Job Summary:The Supporter Relations Assistant (SRA) is a key role in ensuring the smooth operation of the Fundraising team by delivering efficient administrative support and acting as the first point of contact for donors and supporters. Representing the charity in a warm and professional manner, the SRA will assist with daily fundraising activities, maintain accurate records in the CRM system, and prepare thank-you letters to foster meaningful relationships with supporters.
Key Responsibilities:
- Act as the first point of contact for donors and supporters, providing professional and friendly communication across various channels.
- Support fundraising operations by preparing thank-you letters, donor reports, and maintaining accurate data in the CRM system.
- Assist with the day-to-day running of the fundraising department, contributing to its smooth operation.
- Proactively engage with supporters, building lasting relationships with individuals from the Naval Service and external communities.
- Collaborate with Regional Engagement Officers and HR to manage the recruitment, onboarding, stewardship, and offboarding of Fundraising and Events Volunteers.
Fundraising Support
- Administrative Support: Provide efficient administrative assistance to the Fundraising team, ensuring seamless operations aligned with organizational goals and deadlines.
- Customer Service: Maintain a strong focus on donor loyalty by nurturing relationships with fundraisers, addressing their needs, and delivering outstanding support.
- Communication: Collaborate with the Communications Officer to share compelling case studies, highlighting the outcomes of donor contributions to inspire continued support.
- Enquiry Management: Handle all incoming queries across multiple channels (phone, email, letter, in-person) with professionalism and urgency, ensuring prompt resolutions.
- Acknowledgment Champion: Administer donations and produce personalised, accurate thank-you letters to express genuine gratitude and foster donor satisfaction.
- Database Coordination: Work with the Database team to ensure proper donor acknowledgments, including responsibility for generating thank-you notes for donations under £1,000.
- Collection Monitoring: Manage the distribution, tracking, and return of collection tins and buckets in line with Fundraising Regulator guidelines.
- Campaign Support: Assist the Development Manager (Individual Giving) in executing successful fundraising campaigns, focusing on timely and meaningful supporter engagement.
Volunteer Support
- Volunteer Recruitment and Onboarding:
- Collaborate with Regional Engagement Officers to recruit and process volunteer applications, ensuring a smooth and welcoming onboarding experience.
- Volunteer Management and Training:
- Partner with Regional Engagement Officers to induct, train, and manage volunteers across regions, fostering a sense of engagement, commitment, and community.
- Stewardship Plan Development:
- Contribute to the creation and execution of a comprehensive volunteer stewardship plan, focusing on effective communication and the retention of fundraising volunteers.
- Annual Volunteer Re-Engagement:
- Lead the annual re-engagement and re-affirmation process for Fundraising & Events Volunteers, coordinating with the Database Lead and HR as needed.
- Volunteer Offboarding:
- Manage the offboarding process for Fundraising & Events Volunteers, ensuring compliance with organizational procedures and GDPR regulations.
- Administrative Support:
- Assist Regional Engagement Officers with volunteer-related administrative tasks, ensuring records are accurate, up-to-date, and well-maintained.
Hours of work
This is a fixed term post of up to 12 months covering maternity leave
Hybrid working approach of 60% in office and 40% home-working
Hours of work are 32 hours per week, 0900 - 1600 Monday to Thursday, 0900 to 1430 Fridays
