Onboarding Professional; 12 month contract; 37 hours a week; based in Preston; £12.99 per hour PAYE An exciting opportunity has arisen to work on a long term contract with our client BAE Systems in Preston as an On-boarding Professional within their busy on-boarding team. The key focus of the On-boarding team is to create a positive experience where our new and existing employees feel informed and prepared for their transition either into the business or into a new team/role. The team works collaboratively with functional and operational teams across BAE Systems Plc to support the On-boarding pipeline. Reporting to the On-boarding Team Leader, the On-boarding Support is responsible for supporting the team with all elements of administrative tasks. They will have a passion delivering an efficient and quality focused level of support to help deliver the On-boarding Service. Typical duties include (but are not limited to): - Providing timely/regular communications, ensuring candidates and hiring managers are effectively engaged and supported throughout the on-boarding lifecycle. - Responsible for providing a quality customer service, including interacting with other teams involved in the on-boarding cycle e.g. Occupational Health/Security, answering enquires and escalating where appropriate - Providing advice and offering support with minimal supervision, following established processed but on occasion, judgement my need to be exercised - Collate candidates documents into ‘eFolders’ that will be used in the candidates file throughout their employment in the business - Attend and contribute to daily stand up meetings and review workload/priorities - Provide support to candidates throughout the process if required - Offer Management: o Responsible for producing and gathering of offer paperwork including Contracts, new starter forms, official secrets act, code of conduct, bank details, salary etc. o Pre-placement screening – Security, occupational health, qualification checking, right to work checks o Monitoring the process of the above through to completion within the agreed and strict timescales - On-Boarding: o Support the on-boarding activities such as chasing and gathering candidate information o Updating candidate information to various systems o Insuring all the checks have been done for the candidates and liaise with the recruiters to ensure the candidates are first day ready o Work with various teams to ensure candidates are onboarded into systems and IT ordered - First Day Readiness o Prepare candidate data to be onboarded into the system o Collate candidate information and provide to hiring managers/recruiters o Sending candidate information over to a further team to be onboarded o Gather IT information to send to hiring managers - Quality o Ensuring procedures and policies are adhered to, including data protection and confidentiality guidelines o Process documents – supporting and contributing to continuous improvements and implementation of new processes within the team o Ensuring all process maps and work instructions are maintained to a quality standard o Working within set timeframes to meet strict deadlines with great attention to detail The successful candidate will have; - Customer Service Experience - Strong Administration background - Knowledge of HR Administration - Proven experience as an Administrator in a recruitment or onboarding team - Experience using an applicant tracking system Skills: - Interpersonal, team working skills - Excellent written and verbal communication skills with strong attention to detail - Experience of working in a fast pasted, strict deadline environment - Highly organised with the ability to prioritise and manage multiple tasks simultaneously whilst maintaining the highest of standards and accuracy - Hands-on experience within recruitment/HR systems - Experience with managing stakeholders across all levels Qualifications: - Minimum 4 GCSEs or equivalent including Maths and English (Grades A-C) - Basic IT skills (MS Packages) - Advanced Excel skills Administration; filing; e-filing; GDPR; secretarial; data entry; data input; Excel; Word; Outlook; Access; MS Office; booking system; business support; database management; diary management; minute taking; document control; compliance; onboarding; e-onboarding; Recruitment; In house Recruitment; Vacancies; Recruiter; Talent Pool; Talent Management; Planning; On boarding; Interviewing; Matching; Temporary Recruitment; Contract Recruitment; Outsourcing; Candidates; Assessing; Screening; Staffing; Employment; Sourcing; Recruiting; Client Liaison; Candidate Assessment; Recruitment Lifecycle; Resourcing Specialist; Talent Acquisition
