Job Title: Document Controller (Administrator)

Location: Reading

Position Overview:

We are seeking a meticulous and highly organized Administrator to join our team. This role is responsible for managing the document control process to ensure the accurate creation, handling, distribution, and maintenance of all documents and drawings in line with our company procedures and compliance requirements. This position involves routine document control activities, including reporting, document tracking, and supporting teams in document management. Key Responsibilities:

  • Document Control Process Management: Operate and manage the document control process for all categories and classifications of documents/drawings, ensuring compliance with company procedures and standards.
  • Reporting: Generate and produce detailed reports on document control inboxes and document activities.
  • Routine Document Control Activities: Manage the release and publishing of documents, handle queries, manage transmittals, and oversee scanning, copying, and library management in accordance with the Document Distribution Matrix (DDM).
  • Support & Guidance: Provide expert support on document numbering, application of metadata, and ensure adherence to document control procedures and practices.
  • Data Accuracy: Ensure the accuracy and maintenance of all existing document records, including electronic and hardcopy formats where applicable.
  • Document Tracking & Compliance: Support various departments in the issue, receipt, and tracking of all documentation. Validate files and maintain the chain of evidence for submissions in line with compliance requirements.
  • File Management: Responsible for the validation, control, and archiving of documents before distribution, ensuring they meet quality and compliance standards.

Skills and Experience:

  • Proven Experience: Previous experience in a similar administrative role is essential.
  • Technical Knowledge: Strong understanding of Document Management Systems (DMS)
  • Familiarity with Standards: Knowledge of British Standards, license condition requirements, and relevant legislation.
  • IT Skills: Proficient in Microsoft Office applications (Word, Excel, Outlook) with the ability to work with technical documents, drawings, and file transfer portals.
  • Organizational Skills: Exceptional organizational and multitasking skills, with strong attention to detail and accuracy.
  • File Management Expertise: Experience in working with electronic file management systems and handling technical documents.
  • Communication: Strong communication skills to handle document queries and liaise with various departments.

Qualifications:

  • Experience working in document control, ideally within a technical or regulated environment.
  • Knowledge of document management software and systems (DMS).
  • Familiarity with document control procedures and metadata application.
