Reporting and LocationThis role reports to the Director of Corporate Services.This role has no direct reports but does have responsibility for allocating and coordinating work tasks.This full-time (37 hours) role is based at the Company offices in Reading with optional hybrid working up to 3 days per week as required by the company.Job Summary Provides support to the Workstream Lead and other Senior Consultants supporting our construction industry clients.This team requires someone who can meet the following criteria:

Duties and Responsibilities
- Manage the diary and schedules for the Workstream Lead and other Senior Consultants, including internal meetings, Senior Management Team meetings and external client meetings, taking responsibility for accepting and rescheduling any meeting requests promptly.
- Book business travel arrangements, including flights, transport, and overnight accommodation, where required.
- Prepare monthly reports and presentations for management and internal meetings, track and ensure progress is made with the Workstream Lead's meeting actions.
- Maintain internal Excel work logs and workstream trackers, including task lists and project dashboards, keeping them updated daily.
- Take responsibility for ensuring that new client proposals and agreements are administered through the new business process to ensure this is followed correctly and that new clients and additional work for existing clients is tracked through to completion and invoicing.
- Communicate with other team members on resourcing of new work for projects and coordinate the flow of project work with other consultants and PAs as required, tracking progress through to completion.
- Scheduling regular updates and meetings within the workstream to ensure information and updates are communicated effectively and actions are progressed.
- Prepare meeting agendas, perform research for meetings and provide any meeting notes or information as required for internal and external client meetings.
- Proofreading and formatting of all correspondence, letters and proposals from templates, and consultant written reports for the Workstream Lead or other Senior Consultants as required.
- Monitoring the Workstream Lead's incoming and outgoing email and ensuring this is copied into client public folders, sending holding responses where appropriate, accepting and scheduling any work requests onto task lists.
- Liaise with clients and business contacts of the Workstream Lead in relation to meetings, work delivery and scheduling of reports for client Board meetings.
- Responsibility for maintenance of the workstream electronic filing system in SharePoint and Teams and on Company Drive.
- Updating and editing the Workstream Teams SharePoint site.
- Ensuring prompt invoicing is undertaken for project work for new clients and additional work for existing clients.
- Administering the Workstream Lead's and other Senior Consultant's expenses.
- Undertaking client fee reviews for ongoing retained agreements.
- Undertake monthly time reviews for client agreements and one-off projects and ensure any overrun or underrun is communicated to the Workstream Lead to be managed.
- Maintain a strong working relationship and communication with the Director Corporate Services and all other team members.
- Act as the Workstream Lead's representative and initial point of contact for other team members and clients and taking initiative to act on the Workstream Lead's behalf within agreed parameters.
- May be required to travel to client sites occasionally to take notes/minutes and to get to know and understand the client and project involvement.
- Work with the Director Corporate Services to improve systems and processes to enable more efficient collaboration within Microsoft 365.
- Provide additional administrative support/assistance to the Director Corporate Services and the Business Support Team as required.
- To support the Workstream Lead in driving business efficiencies, for example, through periodic review of project type and location.
- To support the Workstream Lead in identifying business development opportunities.
Skills and QualificationsThis role requires someone who is self-motivated and resilient with a solutions focus and the ability to have confidence in making decisions;
- Must have Senior/Exec PA support/coordinator background and experience, good organisation skills, and strong communication skills;
- Initiative and task management is essential to manage the constantly changing, fast-paced work environment;
- Advanced Microsoft Office Skills within Microsoft 365 and SharePoint and Teams;
- Advanced level Microsoft Word;
- Advanced level Microsoft Excel is essential and must be able to manipulate data to create management information using graphs/formulas and pivot tables/dashboards and data analysis;
- Diary management and project scheduling experience;
- Accurate attention to detail; professionalism, team engagement, stakeholder management;
- Flexibility and willing to undertake occasional travel if required.
