Are you an organised and proactive Executive Assistant looking for a varied and rewarding role?

Our client, a thriving business in Richmond, is seeking a dedicated individual to support their Directors with both business and personal administration. This is a fantastic opportunity to join a dynamic team, with flexibility and great benefits.

Key Responsibilities:

  • Provide support with email management, phone calls, and overall workload coordination
  • Manage diaries, schedule meetings, and provide briefing notes on appointments
  • Prepare meeting agendas, take minutes, and follow up on action items to ensure completion
  • Draft and revise internal and external correspondence, including reports, under the guidance of the Directors, for business development, cost analysis, and project management
  • Partner with Directors to identify opportunities for operational efficiencies and performance improvements, assisting in implementation and achieving successful outcomes
  • Oversee property administration tasks, including council rates, procurement, and energy contracts
  • Assist Directors in preparing and coordinating new business proposals, special projects, and gathering relevant information for decision-making. Support the process of seeking and onboarding new properties
  • Monitor health and safety compliance, conduct business self-audits, and drive continuous improvement
  • Provide occasional payroll support and general administrative assistance
  • Assist Directors with personal administration, including travel arrangements and expenses
  • Handle sensitive and confidential information with the highest level of discretion

What We’re Looking For:

  • Experience as a PA, EA, or in a similar role
  • Strong organisation, communication, and multitasking skills
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft Office and digital tools
  • A proactive, problem-solving mindset

Working hours: 32-40 hours per week over 4-5 days

There is the flexibility to work a maximum one day per week remotely. This remote working day should be coordinated in advance, and the day may need to vary depending on the needs of the business.
