My client is looking for an Office Administrator to join their team. This role is crucial for maintaining excellent customer service and efficient office operations. You will work closely with various team members, including the Maintenance Manager and Operations Director, to support day-to-day activities and ensure outstanding customer satisfaction.

Day-to-day of the role:
  • Answer telephones and manage the front door.
  • Monitor the administrator mailbox and respond to customer enquiries.
  • Handle printing, photocopying, binding, and posting of documents.
  • Perform general office administration tasks including system updates, filing, and database management.
  • Provide cover for other admin functions during busy periods or to cover team absences.
  • Prepare for meetings, both internal and external.
  • Monitor stocks of basic items such as stationery, uniforms, and kitchen supplies.
  • Draft and send letters, assist with RAMS and Contract Documents.
  • Assist in maintaining the Training Matrix.
  • Offer general assistance to Directors as needed.
Required Skills & Qualifications:
  • Proficient in Microsoft Office, especially Excel.
  • Excellent written and verbal communication skills.
  • Ability to manage own time effectively and make decisions independently.
  • Experience in handling difficult or vulnerable clients with diplomacy and sensitivity.
  • Flexible team player with the confidence to deal face-to-face with people.
  • Ability to analyse queries, identify problems, and provide solutions.
  • Desirable: Experience within the mechanical building services industry or similar roles in retail or face-to-face customer service.
