Our established client in Rushden is seeking a Bookkeeper/Office Administrator to join their friendly team on a permanent basis.This is a hands-on role where you will take responsibility for the administration of the company’s financial operations, ensuring accuracy, timeliness, and compliance with all accounting processes. You will need to be proficient in Sage Accounting, as well as Excel, Word, and the wider Microsoft Office suite.Key Responsibilities As the Bookkeeper/Office Administrator, your daily duties will include:
  • Finance Administration:
    • Maintaining the Excel cashbook and posting payments and receipts to Sage.
    • Reconciling the bank account on Sage and managing petty cash transactions.
    • Managing sales orders, entering pro forma payments, and generating dispatch notes and delivery labels.
    • Inputting purchase invoices into the ledger and managing stock updates on Sage.
    • Posting accruals, prepayments, monthly journals, and maintaining a rolling 13-week cashflow forecast.
  • Reporting & Management Accounts:
    • Reconciling balance sheet control accounts and preparing monthly management accounts, including Profit & Loss, Balance Sheet, and Trial Balance.
    • Providing analysis of sales and purchases for gross margin purposes.
    • Tracking fixed asset additions, disposals, depreciation, and stock movements.
  • Supplier & Customer Liaison:
    • Preparing supplier payment schedules and entering them onto the banking system for approval.
    • Managing credit control, chasing overdue payments, and sending customer statements.
    • Processing customer credit account application forms and addressing carrier queries.
  • Compliance & Reconciliations:
    • Entering foreign invoices and reconciling HMRC Import VAT statements.
    • Maintaining forecasted exchange rate records for stock postings until the final rate is confirmed.
    • Ensuring the accuracy of financial data and adhering to deadlines for financial reporting.
  • General Office Administration:
    • Answering phone calls, processing sales orders, and handling card payment details and sample requests.
    • Managing general correspondence and keeping office records organised.
To excel in this role, you will need to have:
  • Significant experience in bookkeeping or finance administration, with proficiency inSage Accounting.
  • Strong technical skills in Excel, Word, and the broader Microsoft Office suite.
  • A solid understanding of financial reporting, balance sheet reconciliations, and management accounts preparation.
  • Attention to detail and strong organisational skills to manage multiple priorities efficiently.
  • Excellent communication skills for liaising with customers, suppliers, and carriers.
