Who is KBR FTX Logistics Ltd?

FTX Logistics holds a contract to provide a Heavy Equipment Transport (HET) Service moving heavy armour for the British Army (the client) in the UK and Europe. We are a small thriving Company operating an MoD transport contract located in the Bulford area. Our offices can offer a stimulating and friendly environment in which you will be an integral part of the commercial team.

What do we need?

We are currently looking to recruit aBusiness & IT Administrator to join our friendly team in our head office in Bulford, Wiltshire. This role will see the successful candidate work on a variety of administrative tasks as required across the business as well as undertaking receptionist responsibilities and being the first point of contact for any visitors.

You will need meticulous organisational abilities, a proven record of attention to detail and be gifted with incredibly effective communication skills to help you accurately deliver on expectations you set with our colleagues and the client. You must be an enthusiastic, friendly, and sociable team player with a genuine passion for people and team success. A positive can do attitude is very important to FTX. You should have some experience or demonstrable skills aligned to the role responsibilities. This is a full-time office-based position working Monday to Friday. The ideal candidate's responsibilities include the following:

Business Administration

  • Manage office operations and procedures, including office supply inventory and equipment maintenance.
  • Handle correspondence, emails, and phone calls, responding or redirecting inquiries as needed
  • Coordinate employee onboarding and offboarding activities, ensuring a smooth transition for new hires and departures.
  • Support HR initiatives such as employee engagement activities, Wellbeing days and training programs

Perform general administrative tasks such as scheduling appointments, organising meetings and minute taking.

Maintain and update company records, databases, and filing systems.

Assist in preparing reports, presentations, and other business documents.

Contribute to the development and implementation of administrative policies and procedures.

  • Maintain internal and external office appearance through basic office maintenance
  • Ensure the workplace meets with health & safety compliance procedures

Other administration activities as required in order to ensure project & operational excellence.

IT Administration

Support the creation and management of Windows accounts, email, VPN access, and application IDs for staff and non-staff.

Oversee software distribution, Windows updates, and manage trial PCs.

Manage Outlook distribution lists, shared mailboxes, and security groups.

Maintain detailed inventory of IT equipment

Process service requests to provide IT support to staff in resolving technical issues and ensuring smooth operations.

Manage content on intranet pages and FAQs and update key administrative records.

Requirements:

Essential

Experience as a Business Administrator, Administrative Assistant, or similar role is preferred.

Ability to work independently and collaboratively in a team environment.

High level of professionalism and integrity.

  • Exceptional organisational skills with meticulous attention to detail
  • Positive and energetic Completer-Finisher with can do attitude

Confident, proactive and effective communicator can engage with colleagues at all levels.

  • Positive approach to adaptable situations using skill, initiative, and experience
  • Ability to effectively prioritise and deliver to deadlines when required
  • Good general IT skills Microsoft Office suite, Internet, and data entry with ability to adopt new systems as they are introduced

Ability to engage and learn the use of new software tools to manage the delivery

Ability to clearly articulate messages to a variety of audiences

A self-starter and will tackle tasks head on.

Desirable

  • Experience in IT support, with a proactive, problem-solving mindset.
  • Knowledge of organizational protocols and procedures.

Candidates must be willing and able to obtain and maintain the necessary security clearance for the role.
