A healthcare provider based in Sheffield, UK, specialising in delivering tailored, end-to-end healthcare services across various clinical specialities is currently seeking a highly motivated and enthusiastic Senior Administrator / PA to Directors. This key role will provide exceptional administrative support to the Directors, ensuring smooth operations while maintaining confidentiality and professionalism. You will be expected to handle sensitive information discreetly, work independently, and proactively resolve issues as they arise.

Key Responsibilities:

  • Maintain efficient office administration systems to ensure seamless service delivery to the Directors.
  • Arrange and attend executive meetings and conferences, record actions, and ensure necessary facilities are organized.
  • Prepare agendas, reports, and papers for meetings and assist the MD by following up on actions, reports, and outcomes.
  • Manage and maintain secure paper-based and electronic filing systems in line with GDPR regulations, ensuring accurate archiving and file deletion.
  • Process referrals, handle data entry, and maintain accurate records.
  • Perform general administrative duties such as managing post, overseeing suppliers, answering calls, and monitoring emails.
  • Book UK and overseas travel and accommodation for the MD and the team, track personal expenses and manage other ancillary costs.
  • Organise staff tasks by chasing deadlines and ensuring key reports, daily summaries, and progress updates are delivered to the Head of Operations.
  • Handle financial administration, including organising invoices, liaising with the accountant, and ensuring correct information is provided for payroll and invoicing processes.
  • Maintain confidentiality of sensitive business matters and perform ad-hoc confidential projects as required.

Qualifications & Experience:

  • NVQ Level 3 or equivalent in Business and Administration (desirable)
  • Proficiency in diary management and minute-taking.
  • Strong ability to handle sensitive matters with discretion and confidentiality.
  • Excellent typing skills and proficiency in Microsoft Office (Word, PowerPoint, Excel).
  • Excellent communication, influencing, and team-working skills.
  • Highly organised with exceptional attention to detail and the ability to work well under pressure.
  • Experience in a PA role is preferable but not essential - ideally within the NHS or public sector (desirable).
