Main duties:

  • Operational Management of School Sites and Grounds: Ensure Trust school sites and grounds are maintained in a clean, safe, and secure condition for both daily and extended school activities.
  • Assisting in Strategic Planning: Collaborate with the Facilities Manager, senior leadership, and other stakeholders to implement the Trust’s estates vision, contributing to the development and execution of strategic plans that align with school objectives.
  • Health and Safety Coordination: Ensure health and safety compliance across all school sites, supporting statutory inspections and implementing policies to maintain a safe environment.
  • Premises and Cleaning Staff Oversight: Provide line management and support to premises staff, including induction, training, and performance monitoring.
  • Financial and Resource Management: Assist in managing relevant budgets, focusing on best value through effective procurement and resource management.

Duties and Responsibilities:

Operational:

  • Establish and maintain good relationships with students, parents/carers, colleagues, contractors, and other professionals, fostering a cooperative and productive work environment.
  • Organise and monitor the workloads and shifts of premises staff, including arranging cover for absences and delegating tasks to ensure operational continuity.
  • Coordinate premises-related projects in collaboration with the Facilities Manager, including obtaining quotes, raising purchase orders, and managing contractors for repairs, maintenance, and scheduled works.
  • Review and benchmark energy usage across school sites, implementing strategies to optimise efficiency and reduce costs, in line with the energy management policy.
  • Monitor facilities management contracts (e.g., grounds maintenance, cleaning, statutory maintenance) to ensure compliance with agreed standards, addressing issues as they arise to maintain optimal site conditions.

Health and Safety:

  • Support health and safety protocols across all school sites, assisting with statutory inspections and surveys, including fire, legionella, and asbestos assessments, and ensuring risk assessments are completed and acted upon as needed.
  • Keep the compliance software up to date with inspection data and regulatory compliance records, coordinating any follow-up actions required to maintain site safety.
  • Organise regular health and safety training sessions for premises staff, updating staff on relevant procedures, legislation, and the proper use of equipment.
  • Coordinate with external agencies to manage site safety concerns, including pest control, emergency responses, and lockdown or evacuation procedures, as necessary.

Maintenance and Development:

  • Assist in the planning and implementation of the annual and long-term maintenance plans, identifying cyclical, preventative, and emergency maintenance needs and scheduling these in line with budget priorities.
  • Support the administration and scheduling of school lettings, promoting the use of facilities to maximise income opportunities and ensuring compliance with all necessary documentation.

Requirements:

  • Full clean driving license
  • IOSH Health & Safety qualification or a willingness to work towards
  • IT skills - basic
