We are excited to offer an opportunity for an experienced PA / Executive Assistant to join a prestigious Financial Service company. This role is integral in providing high-level support to the Managing Director (MD), ensuring efficient management of communications, schedules, and office administration.
Day-to-day of the role:- Manage digital dictation for the MD, including client renewal letters, emails, and file notes.
- Prioritise and action all client communications in accordance with company procedures.
- Provide PA support to the MD, including managing telephone messages and email correspondence.
- Maintain the MD's electronic and paper diary, ensuring all appointment details are accurately recorded.
- Send emails on behalf of the MD, either through dictation or from messages received over the phone.
- Process data and invoices using the Acturis system and handle premium payments on company platforms.
- Assist with the preparation of documentation for claims and other administrative tasks.
- Perform reception duties, including greeting clients and suppliers.
- Manage office logistics such as organising cleaning services, maintaining office equipment, and ordering stationery and kitchen supplies.
- Handle utility contracts and meter readings, ensuring efficient office operations.
- Maintain meticulous electronic and paper files, ensuring compliance with FCA standards.
- Develop and maintain professional relationships with all clients, providing expert advice in all business areas.
- Handle all aspects of account management for clients, including new business, renewals, and claims.
- Address any bad debt queries promptly and in line with company procedures.
- Promote exceptional customer care standards and achieve a high level of customer service consistently.
- Liaise with the Company PR & Marketing for promotional activities and organise company events such as shows and catering.
- Proven experience as a PA or Executive Assistant, preferably within the financial services sector.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Proficiency in office management systems and procedures.
- Ability to maintain high standards of confidentiality and professionalism.
- Experience in handling a wide range of administrative and executive support tasks.
