Travail Employment Group are proud to seek an Estate Administrator & PA to our client, the Estate Manager. The successful candidate will set the highest example of professionalism as the front facing host to visitors on the Estate. The candidate will provide extensive administrative and operational support, alongside financial management responsibilities. Estate Administrator & PA Objectives:

  • Exhibit exceptional professionalism and adaptability, seamlessly responding to the evolving needs of the business.
  • Ensure impeccable punctuality and attendance, setting a standard for reliability.
  • Effectively manage high-pressure situations by prioritising and organising multiple tasks with a friendly, efficient, and professional approach.
  • Utilise Outlook diary and task lists to master time management, ensuring all deadlines are met.
  • Provide proactive and precise financial and administrative aid to the Estate Manager, Finance Manager, and Trustees, contributing to the operation of the estate.
  • Oversee the efficient running of the Estate office, ensuring that all administrative and IT aid for the Estate Manager are delivered with excellence.


Estate Administrator & PA Duties:

  • Front Office Management: Greet visitors with a positivel manner, manage all incoming calls and enquiries, and maintain a well-organised, professional office environment.
  • Coordination & Liaison: Act as the primary point of contact for professionals, contractors, and suppliers, ensuring seamless daily operations across the Estate.
  • Email & Diary Management: Oversee the estate office inbox, respond to queries promptly, and maintain the Estate Manager's diary, ensuring all appointments and deadlines are met.
  • Document Management: Organise and manage both physical and digital files, ensuring all records are accurate, up-to-date, and compliant with data protection regulations.
  • Meeting Support: Schedule, attend, and minute team meetings, ensuring clear and accurate records are maintained and distributed.
  • Support the Estate Manager: Handle administrative tasks, draft documents, and assist with special projects, ensuring deadlines are met.
  • Tenant & Supplier Relations: Communicate professionally with tenants, suppliers, and third parties, handling enquiries and issues with discretion and efficiency.
  • Diary & Task Management: Prioritise tasks using Outlook, update progress regularly, and ensure timely completion of all delegated work.
  • Data Entry & Record Keeping: Assist the Finance Manager with accurate data entry, financial reconciliations, and report preparation.
  • Expense Management: Track and record expenses, ensuring financial records are maintained and up-to-date.
  • Marketing & Event Coordination: Support marketing campaigns, manage bookings for the event facility, and handle related administrative tasks.
  • Health & Safety Compliance: Ensure all Health & Safety policies are followed, maintaining up-to-date records and documentation.
