Job Purpose: Waste & Recycling Sector

Reporting to the General Manager - Group Commercial Development, the jobholder is responsible for the management of tender activities, driving the process forward by liaising with key stakeholders to produce high-quality tenders, consistently delivering solutions to meet customers’ needs. The jobholder will ensure full compliance requirements have been met and be responsible for managing the production and delivery of the tender document, working to tight deadlines, whilst maintaining high levels of customer satisfaction throughout.

Key Duties:

  • Managing the preparation and completion of Pre-Qualification Questionnaires (PQQs), Invitation to Tenders (ITTs) and tender documents in alignment with customer requirements.
  • Identifying strategies and preparing a tender plan to ensure all tenders and bids are acted upon within strict deadlines.
  • Developing and issuing operational guidelines and documentation to support management of complex tenders, ensuring all key internal stakeholders are briefed on tender requirements.
  • Co-ordinating and managing tender activities across the business; issuing tender notification packages and ensuring required documentation is returned from internal stakeholders within specified deadlines.
  • Reviewing tender documentation and performing quality checks to ensure compliance with the requirements of PAS99:2012, the quality policy and documented processes.
  • Monitoring tender responses from contributors, ensuring high-quality information is received for inclusion in tender document, promptly escalating any quality or integrity issues identified.
  • Managing production of tender documentation, reviewing to ensure a high level of accuracy and completion prior to timely submission.
  • Driving tender to successful closure, consistently delivering high-impact solutions to maximise long- term profitability of the contract.
  • Managing customer relationships throughout the tender process, ensuring a high level of customer care is maintained throughout.
  • Liaising proactively with the Contract Manager or Sales lead, ensuring they are fully briefed and supported to put the contract into operation.
  • Supporting the General Manager to identify new business opportunities, maximising opportunity to win tender bids through the open procurement process.
  • Monitoring the Bid Writer’s performance, coaching and providing constructive feedback whilst identifying employee training needs.
  • Assist the Bid Writer, where necessary, to ensure that all bids are completed on time and to the required standard.
  • Ensure that either the Bid Manager or Bid Writer attends all sites visits alongside the commercial team
  • Attend and contribute towards client presentations.
  • Follow the Bid/No Bid Process for each opportunity to ensure the company is focusing on the correct bids.
  • Ensure full compliance with all Company policies and procedures including health and safety and employment.
  • Any other duties, such as ad hoc projects, as requested by the jobholder’s Manager or the Board of Directors that are within the skills and capabilities of the job holder.

Qualifications:

  • Educated to degree level.
  • Full driving licence. A company car is provide for the purpose of site visits

Experience / Skills / Knowledge:

  • A minimum of 3 years’ experience of bid/tender management.
  • Ideally, waste and recycling industry experience.
  • Commercial awareness of tendering processes with a sound understanding of business development.
  • Demonstrates a confident 'can do’ attitude, and a passion for delivering solutions that will exceed. customers’ environmental and sustainability targets.
  • Excellent communication skills, both verbal and written.
  • Highly motivated, with strong organisational and time-management skills.
  • Good attention to detail with high importance placed on accuracy.
  • Strong writing and proofreading skills.
  • Extensive negotiation, influencing and decision-making skills.
  • Able to prioritise and work well under pressure to meet strict deadlines.
  • Able to identify opportunities for further business development.
  • Excellent analytical and problem-solving skills.
  • Ability to multi-task, working on several projects at any one time.
  • Ability to motivate and coach direct line report/s to ensure their potential is fulfilled.
