Description

Role Purpose:

>To provide self-directed and proactive executive support to the Director to which the postholder has been aligned - noting that there is provision for the postholder to be realigned on a temporary basis to other Director posts if required to meet business needs.

>Acting as an executive support 'partner' to the Director within the Divisional Leadership Team to enable and facilitate the achievement of the Director's and Corporate Leadership Team's strategic objectives and key outcomes; as well as the Divisional objectives and outcomes.

Key Accountabilities:

>Undertaking research on a self-directed basis - for example - drafting responses to Councillor questions, Freedom of Information requests, directing enquiries of the Director and Division requiring a specialist reply or response to those able to respond on behalf of the Director or Division - and tracking completion of the reply/response.

>To ensure that the Director is involved in and prepared for all meetings and communication with: their portfolio holder(s). Members, Corporate Leadership Team and other key stakeholders.

>Developing and maintaining effective working relationships with Director, Corporate Leadership Team, and other key stakeholders to develop and manage the smooth flow of all work interactions and information.

>Working with the Director to ensure effective and proactive diary management, (re)prioritisation and booking of meetings, events etc; liaison with colleagues, partners and customers to manage their expectations effectively and provide a positive interaction with/for the Director and Division.

>Implement and support effective diary management tools for the Director (flags, bring forwards, use of enabling technology). Ensuring a service that engenders confidence, professionalism and empathy at all times.

>To organise and take notes at key meetings that are necessary for theDirector and the Council to meet its statutory and legal obligations (and where alternatives to note taking are not cost effective or in line with statutory requirements or Council policy) e.g., employee relation meetings such as but not limited to: Discipline, complaints, corporate board meetings, panel meetings.

Essential knowledge:

>Experience in dealing with Freedom of Information requests

>Knowledge of the political structures, governance and decision making within the Council.

>Thorough knowledge of the Division's vision, purpose, scope, work, key collaborative partners, key customers and key outcomes

>Extensive diary management skills including the ability to prioritise key meetings, horizon scanning and ensuring the directors are prepared and briefed for meetings.

>Well developed knowledge of planning and project management.
