A leading market operator is seeking an experienced Executive Assistant to provide high level support to the CEO. You will serve as the primary point of contact between the CEO and both internal and external stakeholders, ensuring seamless communication and efficient workflow. You will need to be a detail-oriented self-starter with prior experience providing secretarial and administrative support at c-suite level. You will be required to exercise discretion on confidential matters and upon request and have the flexibility to travel to support the CEO during business trips and conferences. Key responsibilities

  • Work directly with the CEO to support all aspects of her daily work routine.
  • Maintain the CEOs calendar including scheduling meetings, appointments, speaking engagements and national and international travel
  • Coordinate/produce agendas, briefing documents, speeches, and travel itineraries in a timely and accurate manner, to ensure the CEO is well prepared.
  • Receiving and screening calls, emails, and visitors, answering a variety of questions with tact and diplomacy and responding to and directing emails and calls appropriately for resolution.
  • Coordinate work with the senior leadership and wider team as needed.
  • Assist the CEO in the development of reports, presentations, and papers for internal and external audiences.
  • Determine the priority of matters of attention for the CEO
  • Follow up on action points from meetings on the CEO’s behalf.
  • Prepare, reconcile, and submit expense reports on the CEO’s behalf.
  • Event management incl. coordination and management of away days, corporate dinners, and external stakeholder events that the business hosts.
  • Ad hoc administrative and logistical support to groups and committees, most commonly the Green Team and Social Committee
  • Streamline administrative tasks and leverage digital tools for better time management and communication.

Experience required:

  • Three to five years prior experience in an administrative support role ideally at c-suite level.
  • Proficient IT skills particularly in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
  • High level of personal responsibility and proactive approach to tasks.
  • Confident in approach and communication.
  • Exceptional writing, editing, and proofreading skills.
  • Excellent organisation and time management skills.
  • The ability to work under pressure to meet agreed deadlines and adapt to change.
  • Information management - assuring discreet handling of business, confidential and sensitive material.
