Temporary Vacancy – Executive Assistant

Location: St Albans, AL4 (onsite)

Duration: 3 months

Hourly rate: £17.79 (19.94 including holiday pay)

Hours: 37.5 hours per week, Monday to Friday

We areseeking a dedicated and professional Executive Assistant to provide comprehensive administrative support a Senior Leadership Team (SLT).

Key Responsibilities:

  • Organize and prioritize work schedules to ensure effective service delivery.
  • Provide administrative support to the Corporation and the Clerk.
  • Manage meeting administration, including minute-taking and follow-up on action points.
  • Assist the SLT with ad-hoc duties, presentations, statistical data, and reports.
  • Handle diary management, email filtering, and telephone screening for Senior Managers.
  • Liaise with internal and external stakeholders, arranging and minuting meetings.
  • Ensure confidentiality and professionalism at all times.
  • Support key College events such as enrolment, open days, and parents’ evenings, which may include evening or weekend hours.
  • Participate in professional development and mandatory training, including Safeguarding and Prevent.
  • Work across all College sites as required.

Person Specification:

  • Good standard of relevant work experience.
  • Experience in an office environment and compliance with legal requirements.
  • Proficiency in Microsoft Office and data systems.
  • Excellent organizational, verbal, and written communication skills.
  • Ability to prioritize and work effectively under pressure.
  • High level of IT skills and experience in managing diaries and office environments.
  • Experience in producing reports, presentations, and accurate minutes.
  • Strong interpersonal skills, including patience, tact, and discretion.

Due to the nature of this vacancy, we require candidates who can commit to a start date of 18th November 2024.
