Project Support Officer

Venn Group are currently partnered with a large healthcare organisation in the North Wales area who require a full-time Project Support Officer.

The post holder will co-ordinate the administrative function, ensuring comprehensive administration. The post holder will also support the development and implementation of a range of projects within the team, which will impact upon the whole organisation.

Key responsibilities

  • Arrange and support meetings on behalf of the Team including the taking and transcribing of notes, minutes and action points as required and follow up on actions with individuals across the Service and with other key stakeholders to ensure compliance.
  • Organise virtual arrangements or venues for team led meetings, project teams and workshops etc. with requirement to support these sessions across Wales.
  • Facilitate the delivery of any meetings/projects/workshops as required, responding to changes as necessary.
  • Manage the electronic diaries of key staff, by scheduling appointments/meetings as required, and bring forward relevant files as required. Prioritise workload and resolve conflicting diary requirements.
  • Act as a central point of contact for Assistant Directors, projects, and meetings to provide and receive information on behalf of the Team.
  • Update project and work stream plans including the allocation and re-allocation of tasks to the team where the co-ordination of activities has to be done with multiple other professionals including external suppliers, partners, programme management, senior teams across all Directorates within the organisation.
  • Monitor progress of defined aspects of specific projects, identifying problems or opportunities
  • Collect and correlate data as required, e.g., project or performance data, ensuring information is recorded and presented accurately and disseminated appropriately
