Role Overview
This position entails two primary responsibilities: coordinating planned service visits and managing emergency site visits for entry systems and doors, alongside general administrative tasks.

Key Responsibilities

Service Coordination

  • Arrange and manage planned service visits for entry systems, scheduled bi-annually or annually.
  • Coordinate with clients to schedule visits and ensure that engineers are assigned, visits are completed, and outcomes are reported accurately.
  • Record visit details in the internal system and communicate completion to customers.

Breakdown Coordination

  • Respond to incoming service requests by phone or email from customers reporting entry system malfunctions.
  • Gather detailed information regarding each issue and assign engineers as needed to handle site visits.
  • Ensure that visits are executed efficiently and recorded in the system, with final confirmations sent to clients.

Administrative Responsibilities

  • Answer and route phone calls, handling customer inquiries and assisting with callouts for engineers.
  • Maintain smooth communication with both engineers and clients to ensure job success.
  • Log information from completed site visits and confirm with customers.
  • Perform general office administration, such as greeting visitors, accepting deliveries, and maintaining client relationships.
  • Follow up on outstanding quotes and maintain organized records.

Additional Duties

  • General office tasks, such as data entry, document management, and supporting the office team.
  • Support visitor management and delivery intake.

Role Details

  • Location: Staines, Middlesex
  • Work Hours: 37.5 hours per week, Monday to Friday, 9:00 am - 5:30 pm (1-hour lunch)
  • Salary: Up 25,000- 30,000, based on experience and qualifications
