Business Support and Personal Assistant to SLT

Role Purpose: Providing high-level administrative support to the Directors and Senior Managers, enabling them to focus on strategic priorities and maximize their time and productivity.

Key Accountabilities:

  • Diary management for the Directors and Executives as required
  • Extensive and efficient mail correspondence
  • Prepare agendas, presentations, and documents for meetings
  • Clear and accurate typing of all letters, memos, reports, and similar documents from shorthand notes and audio typing as required
  • Efficient minute-taking (team and client meetings) and occasional transcribing of dictation and voice memos
  • Support with Legal and Compliance matters
  • Organization of meetings, including booking venues and ordering refreshments
  • Arranging travel, visas, and accommodation, along with detailed itineraries
  • Liaising with clients for meetings, presentations, and reports
  • Documentation creation and management, ensuring on-brand consistency
  • Supporting with tenders/bid documents
  • Document management and filing
  • Processing expenses and maintaining associated budgets and spend
  • Conducting research on behalf of the Director/Executive and producing clear, concise reports
  • Facilitating smooth communication between leadership, stakeholders, and various departments
  • Visitor support
  • Handling sensitive information with discretion and maintaining confidentiality
  • Managing reception with the Business Operation team for lunch time/holiday/sickness cover
  • Providing administrative support for other functions as required

Person Specifications:

Experience:

  • Previous PA experience (2-3 years) is essential

  • Well-organized and able to manage/prioritize tasks, addressing last-minute changes
  • Excellent communication skills
  • Reliable, discreet, and resourceful
  • Meticulous attention to detail
  • Ability to adhere to strict deadlines
  • Flexibility and willingness to adapt to changing priorities and requirements with a positive and professional attitude
  • Initiative and problem-solving skills
  • Intermediate to advanced level of Microsoft Office Suite (Outlook, Excel, Word, Forms, PowerPoint, SharePoint) and the ability to quickly learn new software or systems

  • Demonstrates aptitude and a can-do attitude
  • Proactive in driving tasks forward and able to chase the leadership team

Package:

Salary: £35,000 - £38,500

Monday to Friday, hybrid after probation, flexi-hours
