About the Job

Are you a highly-organised, detail-oriented Administrator who enjoys taking ownership of problems and maintaining accurate processes? We’re looking for a proactive, meticulous Coordinator/Scheduler to join an expanding, award-winning care company based in Stockport in a fast-paced and self-managed role.

You’ll be responsible for scheduling care staff to make client visits, planning routes and timings to ensure client needs are met and there is adequate out-of-hours cover. You’ll be the first point of contact for clients and colleagues, whilst maintaining accurate and compliant records.

This is a varied opportunity with defined career prospects, ideally suited to someone with experience in a similar role (within the care sector ideally, but other industries will be considered) or someone who has worked in care but has strong administration skills and a desire to learn.

As your role develops, you’ll have the opportunity to take on additional duties in training and HR, with the potential for supervisory duties as the team expands further.

Key Duties

  • Coordinating staff rotas and client visits, including on-call and out-of-hours cover
  • Planning optimum routes and visit times to maximise care time with each client
  • Acting as the first point of contact for queries and prioritising excellent customer service
  • Updating the internal database with client requirements and urgent requests
  • Recording timesheet entries and matching to colleague rotas
  • Administering new starters, booking inductions and maintaining training records
  • Maintaining accurate records and producing weekly KPI reports
  • Assisting with relevant administrative duties as required

Person Specification

Suitable candidates will need to demonstrate:

  • EITHER previous experience in a similar scheduling/coordination role involving the planning of field-based staff for visits and routes on a busy on-call rota;
  • OR previous experience in a domiciliary care role AND previous administration experience with the desire to learn scheduling responsibilities

You will also need:

  • Excellent organisation and time-management
  • Ability to resolve problems and remain calm in busy situations
  • Experience using a CRM / database to manage records and processes
  • Accuracy and attention to detail
  • First-class customer service and communication skills
  • Ideally some experience, exposure to or understanding of the care sector
  • Driving license preferred
  • Flexibility (see below)

Hours, Pay and Benefits

The standard hours of work are Monday to Friday 9am – 5pm (37.5 per week). However, flexibility is required, and preference will be given to candidates who are able to commit to working 1 evening per week and 1 weekend per month. This role is office-based in Stockport, with free parking available on site.

The salary is £25-30,000 depending on your experience relevant to the role. The company also offers an additional performance-related bonus of up to £4,000 per year. You will receive 28 days holiday, access to the company pension scheme and mileage allowance for any travel expenses.
