Purpose of the Role
To support the Centre management and administrative function and provide additional support to Centre operations on a ad-hoc basis.
The role will vary from a broad range of routine administrative and office tasks, providing administrative assistance to various managers, all the way through to assisting centre staff during Centre events, or when incidents occur.
Key Responsibilities
Examples of tasks include:
Compiling and processing Centre statistics to a high standard of accuracy and timeliness
Managing various diaries and room bookings
Assisting in property, facilities and tenant management administration tasks
Monitor various email inboxes, replying ot passing to relevant departments
Raising and receipting purchase orders
Dealing with and resolving invoice queries
Assisting with utilities invoices and queries
Carrying out cash reconciliation, producing weekly reports
Administration of car park schemes
Receiving and hosting visitors, including arrangements for hosting meetings.
Daily management of the contractor tracking system and so on.
Assisting in drafting budgets including helping with sourcing tenders and supporting documentation
Maintain Centre information systems and carrying out routine audits of such information
Maintain the standard of office tidiness and currency of noticeboard information
You will need to be able to maintain positive and productive working relationships with a wide variety of people, including members of the public, the on-site teams through to senior management and our client.
Skills, Knowledge and Experience
Demonstrable administration and office experience, showing the ability to manage your own workload and carry out routine administration, office-based tasks to deadlines in an accurate manner
Experience in hosting visitors and meetings
Good standard of English and Maths.
Good IT skills including the use of Microsoft packages
Ability and willingness to do other Centre tasks outside of routine administrative work.
High standards of initiative, attention to detail, flexibility, can-do attitude, resilience, professionalism, and discretion
Working Hours - Monday to Friday 9pm to 5.30pm.
Occasional weekend, evening and bank holiday working is required, especially around Centre and seasonal events including Christmas. (Time will be given in lieu).
Salary - c. £23-24.5k
