Production and Sales Administrator
  • Full-time 8am - 4.30pm 
  • Location - Stowmarket
  • Working Hours: 8am - 4.30pm Monday to Friday
  • Salary: £27,000 - £28,000 per annum

We are seeking an Administrator to lead a small team of administrators in a dynamic sales and production office. This role is crucial for maintaining the efficiency and effectiveness of our administrative operations, supporting key areas of the business including sales, production, and finance.

Day-to-day of the role:

  • Assist the sales department by booking in materials and managing the effective administration of associated paperwork.
  • Raise purchase orders for consumable products and assist the Sales Team with Sales Order processes.
  • Handle customer and supplier interactions over the phone, taking messages as needed.
  • Manage freight bookings for shipments and build daily production schedules in our ERP system, Syspro.
  • Maintain high-standard inventory records and track shipments from overseas into our facility for production.
  • Communicate with colleagues in the USA to ensure effective maintenance of audit trails for sales and purchasing.
  • Ensure clear communication and information sharing with our Finance department in the USA.
  • Regularly update the production department on inbound materials and drive forward administrative procedures within the organisation.
  • Conduct appropriate induction for all new staff joining the company.
  • Train administrative staff to a high standard to ensure smooth operations and accurate turnover figures.
  • Maintain accurate inventory records and oversee the procurement of non-inventory materials for production equipment and facility maintenance.
  • Manage Contra transactions and ensure timely banking of cheque payments while keeping the USA Finance team informed.
  • Support the Managing Director in managing aged debt and maintain records for staff overtime for payroll processing.
  • Ensure adequate levels of stationery supplies and support the Production Manager in maintaining a production schedule.
  • Oversee the General Manager’s expense reports and manage company petty cash, reporting monthly to USA Finance.
  • Oversee training sessions, manage PPE requests, and maintain records of laundered staff PPE to ensure staff welfare.
  • Lead by example to motivate the administrative team and promote on-time delivery and a positive culture around health and safety.

Required Skills & Qualifications:

  • Excellent communication skills and proficiency in MS Office & Excel.
  • Good attention to detail.
  • A good understanding of sales and purchasing processes is advantageous.
  • A good understanding of inventory management.
  • Ability to maintain high standards of housekeeping in the office and drive process development and change.
