Office Manager Responsibilities:

  • Work in collaboration with two others to ensure the smooth running of the department, which incorporates sales and administration
  • Oversee and act as a mentor to a team, which involves providing day-to-day support, implementing KPIs, and conducting reviews and appraisals
  • Arrange and deliver training to team members to enhance their understanding and skills, as required by the business
  • Regularly review individual and departmental KPIs, ensuring the team and wider business are aligned with the overall company goals
  • Introduce and implement new processes and procedures that enhance team and business performance
  • Support the sales team with administration which includes processing orders, updating customer information, and liaising with the internal team to arrange delivery
  • Assist the customer service team by handling incoming queries and resolving any issues, ensuring high levels of customer satisfaction are maintained
  • Administer and manage customer agreements, successfully negotiating terms that are fruitful for both parties
  • Provide administration and PA support to the senior management team, which includes managing inboxes and preparing correspondence
  • Produce weekly and sales reports to track overall performance and analyse margin performance
  • Take responsibility for all office operations, including office supplies, equipment, cleaning and facilities

Office Manager Skills and Experience:

  • Strong and meticulous Administrator, with previous experience gained as an Office Manager, Customer Service Manager or Sales Manager
  • Proven track record of managing and mentoring a team and is confident in delivering training and performing appraisals and one-to-ones
  • A team player, who can work as well independently as they can in a team and can use their initiative to complete an array of tasks
  • Excellent communication and interpersonal, confident communicating at all levels including senior management, customers, colleagues, and suppliers
  • Enthusiastic, proactive and positive, with a good work ethic
  • Superb organisation and time management skills, able to juggle multiple projects and meet deadlines
  • IT literate, a confident user of all MS Office packages, particularly MS Excel
