The Recruitment Co. is urgently recruiting for a Senior Office Administrator to join our clients growing team working in the manufacturing industry based in the Swansea area.
Hours of work: Mon to Fri Days: 40 hours per week
Salary: Up to 34k depending on experience
Contract: Permanent
The Role: The Senior Office Administrator is a key role responsible for overseeing and supporting divisional office functions. This position will ensure that divisional operations run smoothly, efficiently, and are aligned with company policies. The Senior Office Administrator will handle various administrative tasks, primarily within the FMS engineering division but not always exclusively.
Core Responsibilities:
Office Operations Management:
- Oversee the day-to-day admin where needed in various divisions throughout the company, ensuring divisions are supported.
- Ensure the office environment is clean, safe, and well-equipped with necessary supplies.
- Manage administration and other ad hoc tasks
Administrative Support:
- Provide high-level administrative support to senior executives and department heads. Emails Word documents Excel documents and develop a strong understanding of our Sales force CRM system and Monday Project boards that are used daily in all divisions.
- Prepare reports, presentations, and other documents as required.
- Potentially Organise company events, meetings, and conferences, including logistics and materials.
Team Leadership and Supervision:
- Supervise, train, and mentor junior administrative staff as appropriate.
- Delegate tasks to administrative team members and ensure deadlines are met.
Communication and Coordination:
- Act as the point of contact for internal and external stakeholders.
- Ensure smooth communication across departments and facilitate problem-solving when needed.
- Maintain a professional and welcoming office environment, addressing visitors and clients as necessary.
Records and Documentation:
- Maintain and update office records, files, and databases, ensuring confidentiality and accuracy.
- Handle confidential documents, correspondence, and communication in compliance with company policies.
- Prepare and process reports for management, including budget tracking, office expenses, and employee performance.
Support Process Improvement:
- Support implementation of best practices and process improvements to streamline office operations.
- Suggest improvements to enhance productivity, employee satisfaction, and the overall office environment.
Compliance and Legal Support:
- Ensure the office complies with all relevant health and safety regulations
- Potentially Assist with handling compliance-related tasks such as insurance, HR documentation, and other legal paperwork.
Skills Required:
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Experience with office management systems and procedures.
- Knowledge of office equipment.
- Strong problem-solving and decision-making skills.
Qualifications:
- Education: Ideally Degree in business administration, Office Management, or a related field
- Experience: At least 5-7 years of experience in office administration or a similar role, with at least 2-3 years in a senior or supervisory capacity.
