BASIC FUNCTION
The Product Delivery Assistant is responsible for supporting the Delivery team in ensuring timely and accurate delivery of products to our customers. This role involves coordinating logistics, managing inventory, general administration support for the project managers, and delivery leads and communicating effectively with team members and clients to ensure a seamless delivery process.

RESPONSIBILITIES
  • Monitor and manage inventory levels, ensuring products are available and ready for dispatch. Work with the warehouse team to organise and prepare products for delivery.
  • Communicate with customers to confirm delivery details, address inquiries, and resolve any delivery-related issues promptly and professionally.
  • Maintain accurate records of deliveries, inventory, and customer interactions. Prepare reports on delivery status and performance metrics for management review.
  • Work closely with the product delivery team, sales, and customer service departments to ensure alignment and support in meeting customer expectations.
  • Identify and resolve delivery issues, such as delays or incorrect order details, and implement solutions to improve the delivery process.
  • Assist project managers in planning, executing, and closing projects. Provide administrative support, including scheduling meetings, preparing agendas, and taking minutes.
  • Act as a liaison between project managers, team members, and external stakeholders to facilitate communication and ensure alignment on project goals and deliverables.
  • Identify potential project risks and assist project managers in developing mitigation strategies to address these risks.
  • Contribute to process improvement initiatives by providing feedback and suggestions to enhance project delivery efficiency and effectiveness.
  • Help track project timelines and milestones. Notify project managers of upcoming deadlines and assist in coordinating resources to ensure project deliverables are met.
  • Assist with administrative duties as and when required for the wider Development & Delivery team.
REQUIRED COMPETENCY & BEAVIOURS
  • High school diploma or equivalent; additional education or certification in business administration, PMO Analyst, or related field is a plus.
  • Excellent organizational and multitasking skills, with attention to detail.

  • Proficient in using computer systems and software, including Microsoft Office Suite and delivery management tools.

  • Customer-focused with a positive and proactive attitude

  • Reliable and punctual with strong time management skills.

  • Proven experience in business administration, delivery coordination, or a related role is preferred.

  • Strong communication skills, both written and verbal.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Problem-solving mindset and ability to adapt to changing priorities.

  • Team player with a strong work ethic.
