Customer Service Specialist

Our client, a manufacturing company are looking to recruit a Customer Service Advisor to join their organisation to support with the timely and efficient processing of orders from clients ensuring all related documentation is complete.  Based within a busy Customer Service department you will be responsible for:

  • Receive and process accurate orders from customers.  Liaise with customers keeping them up to date, dealing with any queries in a positive, professional and timely manner.  Understanding the customer’s needs.
  • Ensure the Customer database, price lists and the real shortage report is kept up to date in a timely manner.
  • High level of customer interaction on Teams meetings and email.
  • Team Working, foster collaborative relationships with Planning and Warehouse in order to optimise delivery efficiency, vehicle utilisation and stock control. 
  • Stock Management, all stock kept to a minimum, no obsolete stock and storage locations maintained to show stock available and ready to use.   Manage customers’ inventory to ensure good availability in all depots, especially at peak times such as Christmas.
  • Range and code changes, understanding the reason for the range/code change.  Run down all stocks ahead of changing to the new code where applicable.
  • Collaborative working with the Commercial Team keeping up to date with customers’ accounts.  Understanding the forecast and proactively identify trends using internal systems provided. 
  • All training documents (SOP’s & Matrix) kept up to date and training signed off.
  • Excel knowledge to be of a high standard (intermediate level).  Knowledge of VLOKVUP’s, Pivot etc.  Spreadsheets kept up to date.
  • Pro-active working to foresee where potential issues may happen, high levels of problem solving and thinking outside of the box.  Open and honest dialogue within the team and wider team, maintaining professionalism and understanding of all involved.
  • Full engagement to own personal development, take part in all training offered.  Using the Company toolkit
  • Follow the Company values with full commitment and engagement to the H&S programme and rules within the site.

Skills and Experience

To be considered for this exciting job you will have previous experience of working within a fast-paced environment. You must have excellent customer services skill, be IT literate with the ability to manipulate data and produce reports using Excel. These Excel skills are essential, and this will be discussed in the interview to see if you are comfortable in setting up and manipulating spreadsheets. Please let us know about your level of excel experience to assist us in screening you.   In addition, you should enjoy communicating with people at all levels, have excellent organisation skills and enjoy working to deadlines
