Finance Operations Manager for Kent Charity

ACA/ACCA/CIMA qualified accountant - Hybrid working

Client Details

This new role of Financial Accounting Manager will lead the team to deliver an efficient and supportive finance function which underpins the services and activities that the Charity provides. The jobholder will work closely with managers to proactively support all parts of the business ensuring effective financial control, appropriate financial record keeping, good contract management and robust cash flow management. They will be responsible for developing systems and processes to ensure that services are delivered in the most efficient way, having regard to the demands of funders and upholding standards of quality.

Description

You will be managing 4 members of staff

  1. To manage the sales ledger to ensure that fees for all service placements are invoiced correctly and on time.
  2. To proactively manage, chase and provide regular fee and debtor analysis to ensure a well-balanced cash flow; ensuring that 'aged debtors' are resolved quickly.
  3. To manage the purchase ledger to ensure suppliers are paid accurately and on time and all expenditure is appropriately authorised
  4. To manage the expenses/petty cash systems to ensure expenditure is in line with the organisation policy and processes are effective and appropriate.
  5. To ensure that payroll payments, including third party payments, are accurate and on time.
  6. To manage payroll ensuring all staff are paid accurately and on time'
  7. To ensure all returns are accurate and on time.
  8. To work with the People Department to ensure that payroll processes are effective in line with systems and contracts.
  9. To ensure compliance with statutory requirements including the preparation and submission of VAT (partial exemption method), Corporation tax and ONS returns.
  10. To ensure that the financial records of the Charity are accurate and up to date at all times through the completion of control account reconciliations, review of data/journals, ensure the filing and archiving systems are adequate and well maintained.
  11. To ensure all reconciliations are accurate and completed, as a minimum on a monthly basis.
  12. To ensure all funds for the People We support are managed effectively.
  13. To draft reports for the senior management team and Board as and when required.
  14. To ensure that the financial operations of the organisation are in line with best practice to ensure effective financial control and safeguard the charity's assets.
  15. To ensure, that the procedures for financial and administrative processes are appropriate for our services and ensure financial records are accurate and up to date
  16. To lead on the completion of the annual statutory financial statements, being the key contact for the external auditors.
  17. To ensure the Finance team is appropriately trained to fulfil their responsibilities efficiently and that they understand the procedures in place and their roles in complying with them.
  18. To monitor on a monthly basis the movements in the Charity's bank accounts to ensure that cash flow is managed effectively.
  19. To ensure the financial procedures for the accounting treatment of capital expenditure are in line with services requirements and are followed by all budget holders within the services. support the procurement team on the management of all business contract renewals e.g. insurances, utilities etc, ensuring correct tendering and cost efficiency.
  20. To make optimum use of IT systems used by the organisation to ensure procedures are efficient.
  21. To be pivotal in Finance projects, such as introducing new procedures, new systems or other initiatives.
  22. To assist in any other way that is deemed necessary to improve the financial and business performance of the charity's services.

Profile

  • Qualified professional account (ACA,ACCA,CIMA) or equivalent experience
  • Charity SORP

VAT - partial exemption

  • Working knowledge of the Charity SORP
  • Experience of managing the sales and purchase ledger
  • Experience of implementing new systems and processes
  • Experience of leading a team
  • Strong coaching approach
  • Positive and solutions focussed approach
  • Experience in managing VAT compliance using Partial exemption method partial.
  • Managing teams
  • Experience of working with local authorities as clients would be an advantage.
