Job Overview

We are seeking a detail-oriented and proactive Due Diligence Assistant to support our Due Diligence team, which manages Citizenship by Investment applications. In this role, you will handle key administrative functions, assist with tracking performance metrics, maintain case management data, and support team activities including overseas travel logistics. Your organizational skills and attention to detail will be vital in supporting our team's workload and ensuring timely responses in a fast-paced environment.

Key Responsibilities

  • Oversee allocation of due diligence reports to Researchers, Analysts, and Supervisors, tracking and updating the Due Diligence Manager on target progress.
  • Coordinate with the Accounts Department to ensure up-to-date performance data sharing between Accounts and Due Diligence teams.
  • Monitor and approve timesheets for both permanent and temporary staff.
  • Manage communication records, documentation, and storage systems within the Due Diligence function.
  • Take meeting minutes, track action items, and provide follow-up support.
  • Organize and assist with logistics for overseas trips, including client communications, accommodation, travel, and training materials.
  • Maintain and update the Case Management System (CMS) by preparing, importing, and exporting data, and addressing any discrepancies.
  • Support ad hoc administrative duties as required by the team.

Key Qualifications

Essential:

  • A proactive and inquisitive mindset with a desire to learn and grow within the Due Diligence sector.
  • Proven administrative experience in a high-demand, fast-paced environment.
  • Exceptional attention to detail and ability to handle various data sources methodically.
  • Self-starter with strong independent work skills.
  • Proficiency with Microsoft Office, especially Excel.
  • Highly organized with excellent multitasking capabilities.

Desirable:

  • University degree.
  • Interest in research and analysis.
  • Previous experience in a Due Diligence setting.
