Position Overview:The Project Manager will oversee all aspects of large-scale event planning and execution, with a focus on ensuring smooth technical and logistical coordination. Key responsibilities include managing project scope, liaising with stakeholders, and ensuring timely delivery of event services.

Key Responsibilities:

Event Project Management:

  • Develop and communicate technical production and labour schedules.
  • Manage project scope, ensuring resources are secured to meet requirements.
  • Attend client meetings and address concerns or inquiries.
  • Collaborate with sales and operations to define equipment and technical needs.
  • Review and confirm that equipment and technical positions align with client expectations.
  • Lead the team and guide them through pre-event planning and execution.
  • Ensure HSE documentation is in place, including risk assessments.

Event Execution:

  • Act as the main contact for clients during events, ensuring expectations are met.
  • Manage all technical aspects from load-in to load-out, troubleshooting as needed.
  • Communicate project plans and delegate tasks to the event team.
  • Implement onsite changes related to schedules or equipment as needed.
  • Mentor team members on best practices for technical event execution.
  • Ensure compliance with health, safety, and technical standards.

Financial Management:

  • Assist in budget creation, analysing event costs to align with financial plans.
  • Oversee onsite changes, ensuring they are communicated for accurate billing.
  • Collaborate with operations on post-event invoicing and vendor payments.
  • Minimise liabilities through adherence to policies and property protection.

Administrative & Training:

  • Complete all post-event reporting and manage workforce hours.
  • Participate in the development of project management SOPs.
  • Ensure the return of outsourced equipment post-event.

Job Requirements:

  • 4+ years in technical event management (Corporate Staging or Broadcast).
  • Strong understanding of AV systems and equipment.
  • Client relationship management experience.
  • Strong communication and problem-solving skills.
  • Ability to travel and manage complex logistics.

Competencies:

  • Financial acumen, attention to detail, and strong team-building skills.
  • Proven ability to work under pressure and manage complexity effectively.
