Salary:

  • 40,000- 45,000 depending on candidate experience

Working hours:

  • Monday to Friday, 08:00-16:30, with one hour unpaid for lunch.
  • Full time, 52 weeks per year, with 30 days of annual leave plus bank holidays.

Our client is seeking to appoint an Executive Assistant to support their Head of department. This is a key role within their organisation, requiring extensive administrative and secretarial experience, as well as the ability to operate at the highest professional standards.

As the Executive Assistant to the Head, you will serve as the first point of contact for the Head, managing their diary and maintaining administrative systems. You will handle general secretarial and administrative duties. The successful candidate will possess excellent interpersonal skills, providing a warm welcome to visitors and contacts while upholding professionalism.

Key Responsibilities:

  • Respond to correspondence and enquiries, especially in the absence of the Head.
  • Assist in producing and formatting accurate internal publications, including policy documents, briefing papers, reports to Governors, letters, and presentations.
  • Coordinate, produce agendas, and take minutes at key meetings, ensuring accurate records for distribution.
  • Organise travel bookings, conferences, and other events.
  • Establish and maintain good working relationships with current groups supportive to the organisation, such as parents, alumnae, and the local community.
  • Maintain absolute confidentiality in all aspects of work.
  • Embody the ethos of the organisation, acting as a role model to staff and students.
  • Fulfil any other reasonable duties expected of an Executive Assistant by the Head.

Person Specification:

  • Proven track record of successful support to a senior manager.
  • Positive, can-do personality with the ability to handle routine events or emergencies with confidence and style.
  • Excellent organisational skills with a focus on accuracy and attention to detail.
  • Ability to manage multiple tasks and deadlines.
  • Absolute discretion, tact, and loyalty.
  • Engaging and confident interaction with colleagues, parents, students, and visitors.
  • Professional telephone manner when dealing with a range of callers.
  • Flexibility to work early or late and occasional weekends, with time off in lieu during school holidays.
  • Excellent Microsoft Outlook, Word, and Excel skills.
  • IT literate with a typing speed of 50+ words per minute (shorthand skills would be advantageous).
  • An appreciation of the organisation, its ethos, and history.
