We are seeking four diligent and skilled Receptionists / Administration Officers to join our team across different locations. This role involves a variety of administrative and reception duties, including minute taking, handling sensitive information, and supporting senior managers and social work teams.

Day-to-Day Responsibilities:

  • Perform reception duties, handle telephone calls from the public and internal colleagues, manage room bookings, and undertake financial and general administrative tasks.
  • Provide an effective business support service by managing a range of administrative tasks such as minute taking, dealing with telephone enquiries, organising and coordinating arrangements, and completing work requests from a shared inbox.
  • Identify and maintain suitable venues for sessions and meetings, ensuring effective communication with staff, partners, and service users.
  • Act as a first point of contact, handling routine enquiries and requests for information independently, adhering to the Council’s Customer Care policy.
  • Attend meetings and conferences to produce high-quality, accurate minutes within tight deadlines in line with statutory requirements.
  • Manage daily post, ensuring information is filed and circulated appropriately.

Required Skills & Qualifications:

  • Proven experience in taking minutes at meetings with a focus on accuracy and attention to detail.
  • Excellent written, verbal, and interpersonal skills, capable of communicating effectively with a wide range of internal and external customers.
  • Strong organisational skills with the ability to work independently and manage own workload, completing tasks within tight deadlines.
  • Ability to respond to enquiries and communicate effectively with minimal supervision.
  • Experience in handling confidential and sensitive information with respect and integrity.
