Executive Assistant (Temp 6 month contract) | Warrington | up to £40k DOE

Hours: Monday to Friday, 37.5 hours per week, Flexible working hours

We have an exciting opportunity to join an amazing brand based in Warrington. The Executive Assistant will play a vital role in supporting the Senior Vice President to perform their role efficiently.

Executive Assistant Responsibilities:

  • Manage the SVP's complex and ever-changing calendar, including coordinating meetings, appointments, external engagements, and customer visits across multiple time zones.

  • Make travel arrangements for the SVP, including European and international travel, hotel bookings, transfers, and detailed itineraries.

  • Exercise discretion when managing the SVP's time, proactively evaluating needs for calendar management and travel arrangements.

  • Serve as the Travel Manager with a third-party travel company: manage the system, train users, and oversee the service agreement.

  • Keep the SVP updated on time-sensitive and priority issues, ensuring appropriate follow-up.

  • Prepare, reconcile, and submit expense reports for the SVP.

  • Assist the SLT in organizing departmental summits, including venue finding and travel logistics.

  • Provide active support for major company-wide events such as Brand Summits.

  • Serve as the primary point of contact for European-wide visits by global colleagues when the SVP is involved.

  • Collaborate with Internal Communications to draft and review communications on behalf of the SVP.

  • Maintain efficient filing systems and ensure accurate record-keeping.

  • Partner with the Office & Facilities Manager to ensure mutual coverage during absences.

  • Take on additional duties as assigned, including supporting other departments or executives as needed.

Executive Assistant Key Requirements:

  • Proven experience in an administrative role supporting senior management.

  • Exceptional written and verbal communication skills, with a professional and friendly demeanor.

  • Strong time-management abilities with the capacity to organise and manage multiple concurrent projects. Experience with project management is beneficial.

  • Expertise in managing corporate travel arrangements.

  • Ability to work effectively with senior leaders, maintaining a customer-focused approach while safeguarding the SVP's time.

  • Resilience and the ability to work under pressure, meeting deadlines with meticulous attention to detail.

  • A team player with a flexible attitude and willingness to adapt to changing demands.

  • A proactive problem-solver who embraces challenges.

  • Flexibility in working hours to support the dynamic needs of the SVP and SLT.

  • Experience overseeing budgets and expenses.

  • Proficiency with Microsoft Office tools.

  • Ability to maintain confidentiality of sensitive company information.
