The Role:We are looking for a detail-oriented and efficient General Administrator to support the smooth operation of the business. This role is pivotal in ensuring that office processes run efficiently, and that internal communication and documentation are effectively managed. The ideal candidate will be a self-starter with excellent organizational and communication skills.
- Administrative Support: Provide general administrative support to the management team, including answering phones, responding to emails, and managing correspondence.
- Document Management: Maintain and organise office files, contracts, and other important documents, both in physical and electronic formats.
- Invoice Administration: Assist in the processing of supplier invoices and maintaining accurate financial records in collaboration with the accounts team.
- Purchase Orders: Process supplier, sub-contractor, and hire purchase orders, ensuring accuracy and timely submission. Track and manage purchase order approvals and payments.
- Scheduling & Coordination: Coordinate meetings, appointments, and travel arrangements for staff, and assist in the management of work schedules.
- Customer Service: Act as the first point of contact for customers, handling inquiries, complaints, and ensuring excellent service delivery.
- Supply Management: Order and manage office supplies, maintain inventory records, and ensure office equipment is properly maintained.
- Data Entry: Accurately enter data related to projects, client details, and supplier information into company databases and ensure records are up to date.
- External Information Requests: Send out onboarding forms to new suppliers, customers and subcontractors. Collate all relevant information and chase updates as required.
- Team Support: Provide general support to other team members, including assisting with project-related administration.
The Candidate:You will be already working within an office administration role and have good literacy and good IT skills. Ideally having good admin skills and looking for that next career step and work for a market leading organisation where you can fulfil your career aspirations.
- Proven experience in an administrative role, preferably within a construction, mechanical, or engineering environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with office management software.
- Strong organisational and multitasking abilities.
- Excellent written and verbal communication skills.
- Experience with processing purchase orders and managing supplier and sub-contractor relations is desirable.
- Ability to work independently and as part of a team.
- High attention to detail and problem-solving skills.
- Experience with invoicing, billing, and financial processes is desirable.
- Knowledge of health and safety regulations is a plus.
The Package:
- £24,000 basic salary
- 36.5 hours in the office 5 days a week
