We are currently recruiting for experienced Personal Assistant to work in a permanent posting based in Leek Wootton, Warwickshire,

The role will be situated within a Police Force, so applicants must be able to obtain national security vetting.

The pay for this position is £29,106.00 to £31,296.00 depending on experience.

Role purpose:

To co-ordinate and provide a comprehensive secretarial and administration service to Chief Officers and National Leads who support Nationally held portfolios.

Main Responsibilities:

  • To manage a complex diary, prioritising meetings according to importance and urgency, taking into consideration the optimum use of Chief Officer’s time. Ensure diary conflicts are dealt with appropriately. Ensure all required supporting documents and papers are available in advance including all routine and necessary administrative work i.e., photocopying, dictation, filing etc., to ensure the smooth and efficient running of the department including providing specific information for external publication.
  • To manage travel arrangements for the Chief Officers, including booking travel (drivers/rail/air), hotels, conferences, car parking arrangements etc. including supporting Chief Officers with financial matters including checking and submitting monthly credit card statements, raising relevant purchase orders, mileage checking and submissions, Chief Officer Expenditure & maintenance of Hospitality register
  • To provide support for key strategic meetings including production and distribution of agendas and papers, taking, and circulating minutes. Ensure meeting records represent an accurate account and include all relevant decisions, comments, and issues. Daily monitoring of Chief Officers communication streams and actioning as appropriate. Ensuring timely action and prompting of responses / requests by Chief Officers and others. Deal with email requests in the Chief Officers absence.
  • To meet regularly with the Chief Officer to ensure they are fully informed of ongoing matters, diary commitments and invitations. Ensure any information provided is well-interpreted in order for decisions/actions to be taken and outstanding issues to be dealt with effectively
  • To research and analyse information and ensure comprehensive briefings are provided to Chief Officers, working with senior police officers and other staff colleagues across the force to actively support the individual Chief Officer portfolio, including provision of support to Chief Officers on their National Policing portfolios, liaising with other National Leads and National Portfolio Staff Officers.
  • To prioritise, re-route, draft, and respond to correspondence and enquiries verbally or in writing on behalf of Chief Officers. To take appropriate action to decide with whom, and how, information is shared so that responses, drafts or briefings are provided to Chief Officers in a timely manner.
  • To provide effective communication with internal and external contacts, ensuring that messages and relationships contribute positively to the Chief Officer’s reputation and credibility. Engage effectively with the Home Office in relation to the Chief Officers NPCC portfolios.
  • Co-ordinating the arrangements for the Force level events (e.g. Chief Constable Commendation ceremonies, Chief Officer engagement summits) including sending of invitations, collating citations, liaison with external venues and ordering of relevant medals
  • To build and sustain effective relationships with external contacts, including other force’s Chief Officers and support, Police and Crime Commissioners, Police and Crime Panels, National Police Chiefs Council, local, regional, and national partner organisations, local and national government/MPs, Staff Associations etc.

Knowledge/Experience:

  • Substantial experience in providing a PA/administrative support at an Executive or Senior Management level including proactive Diary Management and minute taking.
  • Excellent word processing skills.
  • Competent in the use of IT packages including Microsoft packages including 365.
  • The ability to work unsupervised on own initiative to tight deadlines and prioritise a demanding workload.
  • The ability to research and analyse large volumes of information and prioritise as appropriate.
  • The ability to deal tactfully and appropriately with people at all levels, exhibiting sound judgement and high degree of emotional intelligence.
  • Proven track record as an effective team player.
  • The ability to deal with all confidential matters with absolute discretion and integrity.
