Job Description:
This is an opportunity to provide first hand support to the Propulsion Engineering Director and their First Line reports in robustly delivering, excellent customer service and key business processes. The individual will be an active member of the team and deliver timely and efficient maintenance of a range of administrative activities. This needs someone who is confident and converses well with different levels of people. This role needs a can-do attitude with someone who isn’t afraid to make recommendations of solutions to the Director.
- Diary co-ordination and management including organising time within the latest priorities which are ever evolving and transforming with the business
- Organisation of meetings inclusive of booking venues, catering and general events logistics for a busy Engineering Director
- Supporting the Propulsion First Line in meeting venue booking where necessary
- Document approval support working with Propulsion Director and the First Line
- Acting as a point of contact for the team and wider business on general queries/ departmental information and key projects
- Supporting a fast-paced department in the changing of priorities and ensuring actions are distributed to the correct owner
- Liaising with colleagues and external contacts to book travel and accommodation as well as expense organisation and support for Propulsion Director
- Attending meetings, taking minutes and circulating notes where required
- Occasional site visits across the UK which may include delivery of items, collection of cars
- Any other key activities and tasks as determined by the Propulsion Director or Business Manager
Experience Required:
- Someone who can demonstrate experience at delivering on the key accountabilities and responsibilities outlined above with a high level of customer service, empathy and support for all stakeholders
- A proactive individual who can anticipate needs and changing priorities at a fast pace and drive organisation into a busy director’s daily work life
- A person with integrity who can maintain confidentiality at all level
- Proven ability to work in a fast-paced, changing organisation with an organised and solution focused mind set
- Effective coordination and ability to manage long term planning requirements
- High attention to detail and time management skills
- Customer centric with proficient communication skills for a Diverse and Inclusive audience with a department that has over 3000 people
- It is essential to be comfortable in using the full Microsoft suite including PowerPoint, Excel and Word
- Problem solving mindset to bring solutions to the Director in times of need and support
- Ability to network with a large number of individuals within a large cross functional team
- Must have a driver’s licence
