The Estates department are looking for an Estates Administrator who can hit the ground running in a busy department. The role will be based at our Watford Site with occasional travel to other sites when needed.

You will be required to provide general administrative support and procurement responsibilities for the Estates department.

As the first point of contact for external agencies and service providers you will require outstanding communications skills. You should be capable of dealing with enquiries from external partners and internal colleagues with the same high level of customer service.

You will also be required to build working relationships with contractors and manage central databases, records, and contractor information, ensuring that the College and its contractors are always legally compliant.

You will need a keen eye for detail as the role requires close recording and monitoring of budget expenditure, producing efficient management information for managers to effectively control the budget.

The successful candidate will have excellent IT skills, be educated to at least Level 3 or have gained the equivalent knowledge through experience in a similar role.

The role will require obtaining quotes, raising Purchase Orders, managing a job system for reactive maintenance and answering phones.

MAIN PURPOSE OF JOB

To provide general administrative support and procurement responsibilities for the Estates and Technical Services departments, including facilitating the effective operation of these college wide functions.

MAIN DUTIES AND RESPONSIBILITIES

* Provide administrative support for the Estates and technical services departments ensuring all work is carried out efficiently and effectively within agreed service levels

* Dealing with enquiries from external partners and internal colleagues with the same high level of customer service.

* Support and action jobs logged via the helpdesk in accordance with agreed priorities and procedures to ensure a timely and responsive Facilities fault rectification service is provided.

* Build working relationships with contractors and manage central databases, records and contractor information, ensuring that the College and its contractors are legally compliant at all times.

* Maintain relevant central databases of information relevant to the Estates Department in accordance with agreed procedures for the storage and use of data, and to produce timely, accurate management information and reports.

* Request and correlate information e.g. contractor information such as DBS checks and Pre - qualification documentation as well as Utility & Waste Management company information including dealing with renewals and upgrades as appropriate in order to ensure legal compliance.

* Procurement responsibilities across both Technical Services and Estates. Process orders and check invoices for all expenditure, record and monitor budget expenditure, producing management information for managers to enable effective budget control.

* Act as the first point of contact for external agencies, service providers and contractors, dealing effectively with enquiries and queries in relation Estates/ Technical Services matters.

* Maintain effective and user-friendly filing and retrieval systems which enable accurate and up to-date information to be accessed quickly and easily.

The role is 37 hours a week - full time, with the successful candidate starting in January 2025.
