Job Title: Assistant to Operations Manager

Full time permanent role

Office based role, Mon-Fri

Role Overview:

As a key member of our team, you'll support the Operations Manager with the daily operations of a variety of exciting projects. This is an excellent opportunity to gain hands-on experience and develop your skills in a fast-paced environment, with full training provided. Your role will focus on ensuring that materials and resources are procured in line with project timelines, while contributing to successful financial outcomes through effective purchasing.

Key Responsibilities:

Estimating Support:

  • Reach out to suppliers and subcontractors to request tender enquiries and gather essential information.
  • Assist in taking measurements or verifying quantities as needed.
  • Source and obtain pricing details for materials to help build accurate estimates.
  • Meet with suppliers to review rates and negotiate competitive pricing.

Project Coordination:

  • Review project schedules to ensure procurement timelines align with overall project deadlines.
  • Develop procurement plans that ensure the efficient and timely delivery of materials.
  • Organize and source material samples for client approval and submit technical documentation as needed.
  • Ensure materials are purchased within or better than tendered rates.
  • Work with suppliers to negotiate lead times and costs to keep projects on track.
  • Coordinate the purchase, transfer, and use of equipment across various projects.
  • Regularly review and sign off on plant and material invoices for accuracy.
  • Conduct measurements and checks on project drawings as required.
  • Assist in the preparation of operations and maintenance manuals for project handovers.
  • Collaborate with the financial team to support the preparation of variations and reporting.

General Responsibilities:

  • Maintain and update the company's pricing database to ensure accurate and up-to-date information.
  • Promote the company through regular sales and marketing activities.
  • Assist with client relations and entertainment as required.
  • Build strong relationships with suppliers, negotiating better rates and terms as needed.
  • Attend internal contract review meetings to stay informed on project progress.
  • Conduct regular site visits to ensure smooth project execution.
  • Take on additional duties as needed to support the team's goals.
