We are looking for a Property Management Assistant/Coordinator to support our team in delivering exceptional service to landlords and tenants.
This role offers the opportunity to work in a dynamic and fast-paced environment, helping to ensure that property maintenance is handled efficiently and effectively.
Key Responsibilities
- Coordination of works orders - Manage and schedule both planned and reactive maintenance for managed properties.
- Pre-planned maintenance - Ensure routine property maintenance is scheduled and carried out in a timely manner.
- Reactive repairs - Respond to repair requests, liaising with tenants, landlords, and contractors to resolve issues efficiently.
- Inventory and property visits - Schedule and coordinate property inspections, inventories, and check-ins/check-outs.
- Contractor liaison - Work closely with contractors to ensure repairs and maintenance are completed to a high standard.
- Record keeping - Maintain accurate records of all maintenance activities, ensuring compliance with relevant regulations.
- Tenant and landlord communication - Provide regular updates to tenants and landlords on the status of maintenance requests.
- Problem-solving - Handle maintenance-related queries and escalate issues where necessary.
- Support the Property Management Team - Assist with all aspects of property management to ensure smooth operations and excellent service delivery.
Requirements
? Prior experience in coordinating maintenance or scheduling maintenance appointments preferred.? Strong organisational and administrative skills with the ability to multitask.? Excellent communication skills and confidence in dealing with tenants, landlords, and contractors.? Ability to prioritise workload and work under pressure in a fast-paced environment.? A proactive and problem-solving approach to property maintenance challenges.? IT literate, with experience using property management software or CRM systems (preferred but not essential).
