The main purpose of this role is to provide this niche consultancy with Executive, hands on support in the running of the business.
This role requires highly organised and proactive support to the Managing Director (MD) and Financial Director (FD). The PA will be the first point of contact for existing clients, ensuring smooth operations with a focus on responsive customer care. The role involves managing diaries, travel and accommodation arrangements, preparing necessary documents, creating daily planners, and maintaining accurate records.
You will have excellent communication skills, a keen eye for detail, and the ability to uphold confidentiality and company standards.

THE ROLE:

Client Relations:
Act as the first point of contact for existing clients, ensuring operations run smoothly.
Provide responsive and high-quality customer care at all times.
Understand the client journey and map out all the necessary touch points for MD support and client support.
Send all calendar invites and reminders.

Diary and Travel Management:
Manage the diaries of the MD and FD, including scheduling meetings and travel.
Arrange accommodation and travel logistics.
Ensure all necessary documents are prepared for meetings and travel.

Planning and Coordination:
Create daily planners for the team to ensure seamless client account management and leveraging the MD's time.
Include travel time in diary scheduling.
Anticipate the MD's requirements for each meeting and prepare accordingly.

Follow-up and Systems Management:
Efficiently follow up on meetings using appropriate templates and Standard Operating Procedures (SOPs).
Maintain a robust system for lead follow-up.
Keep the database platform up to date for internal and client use.

Content Creation and Presentation:
Create social media posts and presentations with a close eye for accuracy and detail and an understanding of the target market.
Ensure all content meets company standards and recognising that the clients are highly regulated.
Create and/or update PowerPoint and keynote presentations in a timely manner.
Proof read documents created by others before sending.

Office Management:
Maintain a clean and tidy office environment.
Efficiently manage both digital and paper filing systems, ensuring compliance with UK GDPR and ICO rules.

Research and Reporting:
Conduct research as requested and provide verbal or written reports.
Assess and prioritise work according to business needs.

Event Coordination:
Prepare for workshops and training sessions, including setting up events/IT requirements and hosting clients.
Ensure smooth client experiences during workshops and training.

Administrative Tasks:
Manage the printer and bind documents.
Order stationery and other business supplies.
Maintain and care for company property, including mobile phones and laptops.

Record Keeping:
Keep accurate records of working hours on internal platform and submit them monthly to the FD.

Brand Ambassadorship:
Act as a Membership Advisor for clients at the start of conversion.
Uphold company messages and standards in all client interactions.
Be a brand ambassador at all times.

Essential Requirements:
Excellent organisational and time management skills.
Strong interpersonal and communication skills.
Proficiency in Microsoft Office Suite and familiarity with (url removed) would be ideal.
Competent user of Canva Pro.
Research other apps to improve operational efficiencies and delivery of the best customer service.
Ability to maintain confidentiality and handle sensitive information.
Knowledge of UK GDPR and ICO regulations.
Ability to work independently and prioritise tasks effectively.
Flexibility to travel and adapt to varying work environments

Experience in the dental or medical field would be beneficial.
