Role Purpose


The Office and Project Administrator will provide essential business support to the Governance and Risk (GAR) team, ensuring smooth operations across administrative, governance, and compliance functions. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.



Key Responsibilities



Office Administration

  • Manage board meeting administration, including minute-taking for designated operating companies.
  • Maintain board trackers, associated documents, and prompt action follow-ups.
  • Coordinate travel bookings for Covelya personnel.
  • Monitor shared team mailboxes and ensure timely responses.
  • Oversee right-to-work checks and team induction planning.
  • Manage visitor arrangements and ensure a seamless experience.
  • Provide backup and support for the Executive Assistant as needed.


Governance and Risk (GAR) Support

  • Maintain and oversee the fire safe, including document archiving.
  • Support the administration of governance systems:
  • Act as a backup for DocuSign processes.
  • Assist in managing the Skillcast LMS system.
  • Administer conflict-of-interest forms and related processes.
  • Track and manage reserved matters and decision records.
  • Maintain the Gifts and Hospitality Register.
  • Oversee records and policies, ensuring timely updates and renewals.
  • Monitor team shared mailboxes and identify required actions.
  • CompileKPI metrics and risk data from operating companies.
